Job summary

Pasona Singapore Pte. Ltd. is seeking a Logistics Administrator to manage order processing and shipment documentation in a manufacturing setting.

You will verify shipment details, coordinate carrier bookings, prepare LC-related documents, and monitor packing and delivery while communicating with internal teams and external partners to ensure timely and accurate shipments. Experience with Incoterms, LC/DP/DA/BG, and ERP systems like SAP or Oracle is preferred, and MS Office tools are essential

Qualifications

• Diploma in Business, Logistics, Trade Finance, Supply Chain Management or related field is required.
• At least 3 years of experience in order processing, shipping and trade documentation.
• Knowledge of Incoterms and trade finance instruments (LC, D/P, D/A, BG).
• Familiarity with ERP systems such as SAP or Oracle.
• Proficiency in MS Office 365 tools (Outlook, Teams, SharePoint, Word, Excel).
• Strong organizational and time-management skills for multiple shipments.
• Effective interpersonal communication for collaboration with teams and partners.

Responsibilities

• Verify accuracy of shipment information assigned from the order processing team.
• Communicate pick and pack instructions to warehouse for timely shipment prep.
• Coordinate carrier bookings with freight forwarders after packing details.
• Draft and prepare shipment documents for customer review.
• Generate additional documents per contract requirements.
• Review Letters of Credit for discrepancies.
• Submit bank documentation for negotiation to facilitate payment.
• Initiate sales recognition after installation reports.
• Notify stakeholders of shipment delays and arrange alternate delivery dates.
• Monitor packing and shipment progress to ensure timely delivery.
