Job summary

TSUBAKIMOTO SINGAPORE PTE LTD is seeking an experienced Shipping / Customer Service Executive to oversee daily warehousing activities and coordinate shipping operations, ensuring documentation and processes meet production, productivity, quality and service standards.

You will liaise with forwarding agents, clients and the warehouse, prepare import/export documents, handle quotations, invoicing, and queries, while maintaining accurate records and driving on-time deliveries.

Qualifications

• Min. Diploma and above in logistics/ Supply Chain or equivalent.
• At least 1-3 years of relevant shipping experience.
• Proficient in handling shipping documents and familiar with INCOTERMS.
• Knowledge of HS code and Strategic Goods Control preferred.
• Strong customer service skills; able to liaise with multiple stakeholders.

Responsibilities

• Handle and prepare import and export shipping documentation (Land/Air/Sea Freight).
• Liaise with forwarding agents, clients, and the warehouse department.
• Ensure on-time shipment and billing of invoices.
• Respond to customer inquiries such as tracking and tracing shipments.
• Admin duties related to Air and Sea operation set-up.
• Prepare quotations, sales follow-up, forecasts and presentations.
• Generate price lists and keep the sales team informed with principal updates.
• Engage with external customers, suppliers and internal teams as required.
• Data entry, filing and retrieval of documents; provide admin support.

Your Role

We are looking for an experienced Shipping / Customer Service Executive to oversee and coordinate the daily warehousing activities. You will implement production, productivity, quality and customer service standards and achieve the appropriate level of volume within time limits.

What Will You Do

• Handle and prepare import and export shipping documentation (Land/Air/Sea Freight)
• Liaise with forwarding agents, clients, and the warehouse department.
• To make sure clients' goods are sent on time and send billing of the invoices.
• Responsible for clients' inquiries such as tracking and tracing shipments.
• In charge of administration matters relating to the Air and Sea operation set-up.
• The person is responsible for communicating with the customers/distributors on their solution needs and after-sales needs.
• The job will require providing the quotation, sales follow, sales forecast, and sales presentation.
• Generate and review sales quotations, order processing, and invoicing.
• Review customer sales orders, proposals, purchase orders, and related information.
• Preparation of documents for sales operations, customer-related reports to management, sales and customers as required.
• Generate price list for sales team, based on information from principals. Monitor &update sales team with relevant information from principals.
• Effectively engage with external customers, suppliers, financiers and internal colleagues including shipping, finance, technical, service, sales and marketing, as required.
• Provide admin support where necessary.e.g. filing, data entry, retrieval of documents, or any other duties assigned.

What Do We Want

• Min. Diploma and above in logistics/ Supply Chain or equivalent

• Knowledge of MS Excel, Words, Microsoft Dynamic Navision 365 and control of documents.
• Proficient in handling shipping documents and familiar with INCOTERMS
