Job Description

We are seeking a detail-oriented and proactive Sales & Logistics Coordinator to manage shipping documentation, coordinate import and export shipments, and provide sales and administrative support. The role involves liaising with customers, freight forwarders, warehouse personnel, and internal departments to ensure timely deliveries, accurate order processing, and efficient daily operations. The ideal candidate should possess good communication and organizational skills, with the ability to manage multiple tasks effectively.

Shipping & Logistics Operations

Prepare and manage import and export shipping documentation for land, air, and sea freight.

Coordinate with freight forwarding agents, clients, and warehouse personnel to ensure smooth shipment operations.

Monitor shipment schedules to ensure timely delivery of goods and coordinate the preparation and issuance of invoices.

Handle customer enquiries relating to shipment tracking, tracing, and delivery status.

Provide administrative support for air and sea freight operations, ensuring accurate documentation and records.

Sales Coordination & Customer Service

Liaise with customers and distributors to understand their requirements and provide appropriate solutions, including after-sales support.

Prepare sales quotations, follow up on sales opportunities, maintain sales forecasts, and assist with sales presentations.

Process sales orders, prepare and review quotations, and coordinate invoicing.

Review customer sales orders, proposals, purchase orders, and other related documents to ensure accuracy and completeness.

Prepare sales documents, customer‑related reports, and management reports as required.

Generate and maintain price lists based on information provided by principals, keeping the sales team updated on relevant pricing and product information.

Stakeholder Coordination & Administration

Communicate and coordinate effectively with external customers, suppliers, financiers, and internal departments, including shipping, finance, technical, service, sales, and marketing teams.

Provide general administrative support, including filing, data entry, document retrieval, and other duties as assigned.
