Role Description
We are looking for a responsible, organised and customer-focused Service Advisor to join our commercial vehicle workshop team.
The Service Advisor will be the key point of contact between customers, technicians/mechanics, suppliers and management, and will be responsible for coordinating vehicle servicing and repair jobs from the time the vehicle enters the workshop until the job is completed, invoiced and the vehicle is collected.
This role requires strong follow-up, good communication, attention to detail and a high level of responsibility.
The successful candidate must be able to take ownership of assigned service and repair jobs, monitor outstanding matters independently and ensure that all required actions are completed promptly without repeated reminders from Management.
Duties and Responsibilities
- Attend to customers at the service counter, phone calls and WhatsApp enquiries.
- Understand customer-reported vehicle issues and prepare clear work orders for technicians/mechanics.
- Prepare quotations and follow up with customers for approval.
- Coordinate and monitor vehicle repair progress with technicians/mechanics.
- Keep customers updated on repair status, outstanding approvals and vehicle completion.
- Prepare and process job cards, quotations, Delivery Orders, Purchase Orders and invoices accurately.
- Check that all repair work, parts and charges are properly recorded before invoicing.
- Coordinate parts received from suppliers and ensure correct parts and quantities are issued to the relevant repair job.
- Follow up on completed vehicles, customer collection and outstanding matters promptly.
- Maintain proper documentation and ensure assigned jobs are followed through from vehicle reception until job completion and collection.
Requirements
- Minimum GCE N/O Level, NITEC, Diploma or equivalent.
- Previous experience as a Service Advisor, Automotive Service Coordinator, Workshop Administrator or similar position will be an advantage.
- Experience in automotive, commercial vehicle, heavy vehicle, truck or workshop operations is preferred.
- Candidates without automotive experience may be considered if they are willing to learn.
- Good customer service and communication skills.
- Comfortable communicating with customers face-to-face, over the phone and through WhatsApp.
- Able to communicate effectively with technicians, mechanics, suppliers and Management.
- Good administrative and documentation skills.
- Strong attention to detail.
- Able to prepare and check quotations, invoices, Purchase Orders and other operational documents.
- Basic computer knowledge and comfortable with Microsoft Office and data entry.
- Able to handle several ongoing jobs at the same time.
- Strong follow-up ability.
- Responsible and able to complete tasks without constant supervision.
- Good time management and organisational skills.
- Able to work in a fast-paced workshop environment.
- Willing to learn vehicle components, parts and repair terminology.
