Job summary

Private Advertiser in Singapore is seeking an Executive, Business Operations to provide back-end administrative and operational support to the Short-Term Rental team, ensuring rental records, invoicing, and fleet data are accurately maintained.

The role is largely administrative and coordination-focused, directing customer service matters to the appropriate teams and supporting internal stakeholders with reports and data updates.

Qualifications

• 2+ years in administrative support, sales operations, rental ops, logistics or customer service coordination preferred.
• Strong attention to detail with accurate documentation management.
• Good organizational and coordination skills to handle multiple tasks and deadlines.
• Proficiency in Microsoft Office, especially Excel; ERP systems experience is advantageous.
• Clear communication with internal teams and customers when required.

Responsibilities

• Prepare and issue rental agreements with accurate customer details, terms, rates and documents.
• Update and maintain records for vehicle bookings, extensions, collections, returns and fleet availability.
• Monitor lease end dates and follow up on vehicles due for return.
• Process extension requests and update related records and stakeholders.
• Prepare invoices, process down payments, and support billing documentation for rentals.
• Coordinate vehicle collection and return arrangements, including scheduling and document readiness.
• Direct customer enquiries about breakdowns, accidents, damage or issues to the appropriate team.
• Maintain accurate rental, customer, billing and fleet records in relevant systems.
• Support the team with reports, data updates, filing and other admin duties as required.
