Job summary

PIXO Events Asia Private Limited is seeking a Senior Project Lead to drive planning, coordination and execution of corporate conferences, product launches, exhibitions and hybrid events from concept to completion in Singapore.

You will partner with clients, vendors and internal teams to ensure events run smoothly, on time and to PIXO’s high standards, while mentoring junior staff and maintaining impeccable attention to detail.

Qualifications

• 6 years of working experience in events, conferences, marketing or related fields.
• Diploma or Degree in Events Management, Marketing, Communications, Business or related disciplines.
• Recent graduates may apply for Project Executive role.

Responsibilities

• Plan, coordinate and execute events from concept to completion including hybrid events.
• Coordinate venue setup, program flow, logistics, and manpower.
• Manage client meetings, proposals and briefings; ensure stakeholder alignment.
• Source and liaise with vendors; monitor timelines and on-site execution.
• Prepare proposals, quotations, budgets, and production schedules; support project managers.
• Oversee on-site setup, VIP coordination, rehearsals, and event flow.

Role Overview

As a Senior Project Lead at PIXO Events, you will play a key role in planning, coordinating, and executing events from concept to completion. You will work closely with clients, vendors, and internal teams to ensure every project is delivered smoothly, on time, and to PIXO’s high standards.

This role is ideal for individuals who enjoy a fast-paced environment, have strong attention to detail, and are eager to grow within the events industry.

Key Responsibilities

1. Event Planning & Coordination

• Take charge of the planning, organization, and execution of events such as corporate functions, product launches, exhibitions, conferences, and hybrid events.
• Support the development of event concepts, timelines, and production schedules.
• Plan and coordinate logistics including venue setup, program flow, transportation, and manpower deployment.

2. Client & Stakeholder Management

• Act as a supporting point of contact for clients to ensure their needs and expectations are met.
• Participate in client meetings, proposal discussions, and event briefings.
• Ensure clear communication between internal teams, vendors, and stakeholders.

3) Vendor & Supplier Coordination

• Source, liaise, and negotiate with vendors such as AV partners, decorators, performers, and production crews.
• Manage vendor timelines, deliveries, and on-site execution.

4) Drive Operational Effectiveness

• Prepare and check event documentation: proposals, quotations, budgets, production schedules, and event reports.
• Support project managers in day-to-day administrative duties.
• Ensure proper procurement and tracking of project-related resources.

5) On-Site Event Responsibilities

• Supervise on-site setup, registration, rehearsals, VIP coordination, and event flow.
• Troubleshoot and resolve operational issues during events.
• Ensure all executions align with PIXO Events’ brand quality and professionalism.

Requirements

• 6 years of working experience in the events, conference, marketing, or related fields
• Diploma or Degree in Events Management, Marketing, Communications, Business, or related disciplines.
• Recent graduates with exposure in and strong passion for events will be considered for Project Executive role and are invited to apply
• Strong organizational skills with the ability to handle multiple projects simultaneously.
• Excellent communication and interpersonal skills.
• Ability to thrive in a fast-paced, deadline-driven environment.
• Proactive, resourceful and creative team player.
• Willing and able to work outside normal office hours during peak event periods.
• Proficient in Microsoft Office (Word, Excel, Powerpoint); familiarity with design or project-management tools is a plus.
