Role Overview
We are seeking a qualified Event Project Manager to join our Events & Exhibitions team and support our upcoming projects lined up to December 2026.
You will work closely with the Project Lead and wider team to support the planning, coordination and execution of multiple events and exhibition projects.
This role requires demonstrated initiative, strong project management skills, and the ability to independently manage operational workflows and deliverables.
Key Responsibilities
- Support the team with day-to-day event and project coordination.
- Maintain project timelines, trackers, schedules, documents and task lists.
- Follow up with clients, suppliers, venues, organisers and internal teams on outstanding items.
- Prepare and organise quotations, invoices, artwork files, floorplans, manpower lists, event schedules and other project documents.
- Take meeting notes and translate discussions into clear action items and deadlines.
- Assist with supplier sourcing, quotation requests and basic cost comparisons.
- Track deadlines and proactively flag delays, missing information or potential issues.
- Assist with artwork and printing coordination, including basic file and artwork checks.
- Coordinate logistics such as deliveries, setup schedules, manpower, passes, venue access and event materials.
- Provide on-site support during setup, event days and teardown where required.
- Assist with post-event documentation, supplier invoices and project closing.
- Support multiple projects concurrently while keeping information accurate and organised.
Requirements
- Diploma or equivalent qualification in any discipline (relevant experience in media, design, events, or creative industries is advantageous).
- Minimally 3-4 years of prior working experience in events, exhibitions, project coordination, operations or administrative support.
- Proven ability to thrive in a fast-paced environment with strong skills in managing tasks, priorities, deadlines, and project follow-ups.
- Good working knowledge of Microsoft Office / Google Workspace, especially Excel / Google Sheets, PowerPoint and Word.
- Basic knowledge of Adobe Illustrator and Photoshop is preferred.
- Proficiency in leveraging AI tools (such as ChatGPT) to enhance operational efficiency and streamline administrative workflows.
- Strong interpersonal and communication skills for professional engagement with clients, vendors, and internal stakeholders.
- Flexibility to support event operational requirements beyond standard office hours when required.
- Ability to provide on-site event execution and logistics support as needed.
- Contract Period: Current to Dec 2026 (Renewable)
