Job summary

UNITED OVERSEAS BANK LIMITED is seeking an experienced operations professional to oversee end-to-end support across Workforce Administration, Procurement, Finance, Asset/Software Management, Accounts Payable and general Operational support.

You will coordinate governance, vendor management, budgeting, asset lifecycle, and administrative services, ensuring accuracy, compliance, and timely service delivery within a large enterprise environment in Singapore.

Responsibilities

• Workforce Administration & Governance: Manage employee and contingent workforce processes, onboarding, transfers, extensions, offboarding.
• Review workforce records, system access, and security privileges to mitigate risks.
• Monitor contract renewals for contingent workforce.
• Procurement, Contract & Vendor Management: Manage PRs, POs, and compliance monitoring.
• Coordinate vendor onboarding and maintain vendor records in SAP and EAP.
• Track vendor service delivery and payment obligations.
• Support contract administration, including software subscriptions and renewals.
• Financial Administration: Manage financial transactions and AP/GL uploads, ensuring accuracy and compliance.
• Perform monthly reconciliations, expenditure reviews, and variance analysis.
• Support budget planning and yearly budget forecasting.
• Review DDA transactions and identify financial risks or irregularities.
• Asset, Software & Technology Management: Manage the full lifecycle of departmental assets, from acquisition to disposal.
• Administer software licenses and ensure licensing compliance.
• Coordinate asset verification exercises and follow up on audit findings.
• Maintain accurate asset records and safeguard company assets.
• Partner with IT on hardware refreshes, software upgrades, and technology planning.
• Accounts Payable, Invoice Management & Financial Controls: Oversee GR and invoice verification for timely payments.
• Investigate and resolve invoice, payment, and GR discrepancies with vendors and internal stakeholders.
• Operational & Business Support: Serve as the central coordinator for operational and administrative support activities.
• Coordinate office administration, facilities matters, courier services, and travel-related matters.
• Manage shared mailbox enquiries and ensure timely resolution within service standards.
