We’re seeking a dynamic and detail-oriented Purchasing Executive to lead our sourcing, procurement, and inventory management functions. Responsibilities:
Procurement & Supplier Management
- Oversee the entire purchasing cycle, including sourcing, obtaining quotations, negotiating pricing, managing purchasing orders
- Maintain and update procurement records in the internal system for seamless operations
- Monitor vendor performance and service levels to ensure high-quality supplies and cost effectiveness
- Develop strong supplier relationships and identify opportunities for cost savings and efficiency
Inventory & Logistics Coordination
- Work closely with Operations to ensure overall quality of stock, optimal stock levels, efficient stock rotation and turnover, cost and margin enhancement
- Handle import and export shipping documentation, ensuring smooth logistics
- Accurately input invoice data into the inventory system and reconcile book records against inventory records
- Preparation and compilation of reports: Purchasing, Sales and Month End Inventory
- Coordinate daily deliveries with outlets, promptly addressing any quality issues
- Manage warehouse activities, including stock replenishment, stock-taking and inventory updates
Product Quality & Compliance
- Organize food tasting sessions and participate in R&D workshops
- Compile, update and maintain product specifications, certifications (ISO, HACCP) and regulatory documents
- Ensure compliance with all food safety and industry standards
Time Sensitive & Ad-Hoc Responsibilities
- Liaise with suppliers in Norway during 9:30PM-11:30PM SGT (estimated time frame)
- Complete monthly closing reports from 1st-5th of each month
- Promptly respond to urgent outlet/suppliers queries/issues outside of working hours and on non-working days as needed
- Assist with other tasks and projects assigned by the Purchasing Manager
Requirements:
- Minimum 2 years of relevant procurement experience
- Strong negotiation, communication and contract management skills
- A team player and able to work independently with minimum supervision
- Work well with and manage multiple competing priorities simultaneously
- Demonstrates positive thinking and an open mind to adapt to new environment/culture/challenges
- Possess integrity and business ethics, strong communication and negotiation skills
- Demonstrated success in sourcing to drive purchasing efficiency
