Job summary

COSCO SHIPPING MARINE ENGINEERING (SINGAPORE) PTE. LTD. seeks a procurement professional to manage end-to-end purchasing for ship stores, spare parts and project materials. You will coordinate with project teams, suppliers and crew to ensure timely delivery and accurate documentation.

The role requires 2+ years in procurement, diploma qualification, and proficiency in Chinese for client communications. Strong organizational and negotiation skills are essential for cost control and compliance.

Qualifications

• Diploma level in any field is required.
• At least 2 years of related procurement experience.
• Experience in ship chandler is advantageous.
• Strong organization and communication skills.
• Proficiency in Chinese to communicate with Chinese-speaking clients.

Responsibilities

• Manage end-to-end procurement: sourcing, RFQ, PO issuance, order follow-up, delivery coordination and progress monitoring.
• Source, evaluate and negotiate with suppliers and subcontractors for competitive pricing and timely delivery while controlling costs.
• Liaise with project teams, warehouse, vessel crew, suppliers and subcontractors to confirm material requirements, specs, quantities and delivery schedules.
• Monitor purchase orders and coordinate with suppliers to resolve delays, shortages, quality issues, returns and replacements.
• Procure ship stores, spare parts, vessel provisions, production consumables and project materials as required.
• Maintain procurement records and documentation: PO, quotations, supplier invoices, JDO, delivery documents and related records.
• Verify supplier invoices and coordinate with Finance for timely payment processing and cost allocation.
• Maintain approved supplier database, build relationships with local and overseas suppliers, monitor performance.
• Assist in preparing quotations for ship stores, spare parts and procurement-related services.
• Archive procurement documents and upload records into the Company system upon project completion.
• Ensure procurement activities comply with policies, procedures, quality standards and statutory requirements.
• Perform any other duties as assigned by Management.

Key Responsibilities

• Manage the end-to-end procurement process, including sourcing, RFQ, Purchase Order (PO) issuance, order follow-up, delivery coordination, and procurement progress monitoring.
• Source, evaluate and negotiate with suppliers and subcontractors to obtain competitive pricing, quality products, favorable commercial terms, and timely delivery while ensuring effective cost control.
• Liaise closely with project teams, warehouse personnel, vessel crew, suppliers and subcontractors to confirm material requirements, specifications, quantities and delivery schedules to support project execution.
• Monitor purchase orders and coordinate with suppliers to resolve delivery delays, shortages, quality issues, returns, replacements and other procurement-related matters.
• Procure ship stores, spare parts, vessel provisions, production consumables and project materials in accordance with operational requirements.
• Maintain and update procurement records and documentation, including Purchase Orders (PO), quotations, supplier invoices, Job Delivery Orders (JDO), delivery documents and related procurement records.
• Verify supplier invoices and coordinate with the Finance Department to ensure timely payment processing, account reconciliation and cost allocation.
• Maintain and update the approved supplier database, establish relationships with local and overseas suppliers, and monitor supplier performance.
• Assist in preparing quotations for ship stores, spare parts and procurement-related services when required.
• Archive procurement documents and upload relevant records into the Company's system upon project completion.
• Ensure all procurement activities comply with the Company's procurement policies, procedures, quality standards and applicable statutory requirements.
• Perform any other duties assigned by the Management.

2. REQUIREMENT

• Candidate must possess at least Diploma Level in any field.
• At least 2 years (s) of working experience in the related field is required for this position.
• Advantage to experience in ship chandler
• Good organisation and communication skills.
