Job summary

Cushman & Wakefield Singapore is seeking a Property Executive to manage work requests, log actions in the CMMS, and coordinate with contractors to ensure on-time, quality completion across Community Centres, Clubs, and Buildings.

The role covers site measurements, inspections, monthly audits, safety culture, and proactive reporting. You will liaise with internal/external stakeholders, prepare meeting minutes, and drive license renewals and inspections as required.

Qualifications

  • Degree / Diploma in Building Services / Facilities Maintenance or Mechanical / Electrical Engineering.
  • At least 3 years relevant experience in property / estate / facilities management.
  • Knowledge in building works and facilities management.
  • Possess good communication skills in liaising with both internal and external stakeholders.

Responsibilities

  • Acknowledge all work requests and update the CMMS with follow-up actions within required response times.
  • Manage cost estimates for ad-hoc works, carry out site measurements, and prepare RFA for approval.
  • Position roving PEs at designated Community Centres, Clubs or Buildings as needed.
  • Coordinate and supervise works with Term Contractors to meet schedules, quality and contracts.
  • Evaluate and conduct joint measurements with contractors on claims for Work Orders.
  • Verify and endorse service reports and invoices ensuring contract compliance.
  • Respond to queries on ongoing work, property management, or operations concerns and escalate when required.
  • Conduct building inspections twice weekly and submit reports with photos to CMMS.
  • Perform monthly audits and coordinate with TC and PM as needed.
  • Promote workplace safety culture among team members and contractors.
  • Conduct Customer Satisfaction Surveys biannually.
  • Prepare information for site meetings (e.g., CCMC, MA operations) and attend as required, with minutes.
  • Plan and coordinate license renewals (ASD, Water Tank Cleaning) and submit ASD checklists to CMMS.
  • Respond to incidents on site and coordinate with CC and contractors to minimize disruptions.

About the Role:

  • Acknowledge all work requests and update the CMMS with follow-up actions within the required response times. Once the work is completed and verified, to ensure case is properly closed in the CMMS. To update the PM/BM for tracking of all works related to CC.
  • The Property Executives will assist CC to call for cost estimate for all ad-hoc works, and carry out all site measurements and records, put up Request for Approval (RFA) form for approval.
  • Roving PEs shall be stationed at the designated Community Centre, Club, or Building when not roving between sites.
  • Coordinate and supervise all works with the Term Contractors (TC) and ensure that all works are carried out in accordance with the specified schedules, quality standards, and contractual obligations.
  • For all works, evaluate and conduct joint measurements (where necessary) with contractors on their claims for all Work Orders.
  • Verify and endorse service reports and invoices, ensuring that all work carried out is in compliance with contract requirements.
  • Respond to all queries related to ongoing work, property management, or operational concerns. Ensure that queries are addressed promptly and effectively, escalating issues to the Property Manager (PM) when necessary.
  • To conduct building inspections twice a week for each Community Centre/Club/Building and submit the inspection report along with photos (attach photos to the report using Report and Run app) and upload in CMMS inspection module.
  • Conduct monthly audit if required and submit to the TC (with a copy to the PM).
  • Instilling a culture of workplace safety and behavior among team members and TC.
  • Conduct the Customer Satisfaction Survey twice a year (every 6 months).
  • Prepare and compile all necessary information for all site meetings (such as CCMC and MA operations meeting) and attend as required, with the writing of minutes.
  • Plan and coordinate all necessary license renewal activities (such as Annual Shutdown(ASD) and Water Tank Cleaning) for each Community Centre/Club/Building and submit ASD checklist to CMMS.
  • Respond to incidents on site, coordinate with CC and contractors to recover services and minimize operations disruptions.

About You:

  • Degree / Diploma in Building Services / Facilities Maintenance or Mechanical / Electrical Engineering or equivalent
  • At least 3 years relevant experience in property / estate / facilities management or building / facilities maintenance
  • Knowledge in building works and facilities management
  • Possess good communication skills in liaising with both internal and external stakeholders
