Project Admin / Project Support Responsibilities

1. Project Planning & Scheduling

Assist the Project Manager in planning project timelines, work schedules, and resource allocation. Prepare, monitor, and update project progress schedules using Excel, MS Project, or equivalent tools. Support in tracking milestones and ensuring adherence to project timelines.

2. Site Coordination

Coordinate day-to-day site activities with subcontractors, suppliers, and workers. Ensure smooth workflow, timely material delivery, and compliance with work schedules. Attend site meetings, record minutes, and prepare progress and coordination reports.

3. Client & Stakeholder Communication

Act as a liaison between clients, consultants, designers, and internal project teams. Communicate client requirements clearly to site personnel and ensure timely updates and follow-ups.

4. Procurement & Material Handling

Source, evaluate, and order materials based on project needs. Track material deliveries and verify site quantities. Liaise with suppliers and vendors for quotations, specifications, and delivery schedules.

5. Documentation & Reporting

Prepare work progress reports, variation orders (VO), and other documentation for project claims. Assist in submission of drawings, material samples, and approvals to consultants or relevant authorities. Maintain proper documentation and filing of all project-related records.

6. Compliance & Safety

Monitor workplace safety practices and ensure compliance with Singapore's workplace safety regulations. Coordinate permit applications and submissions to authorities (e.g. HDB, BCA, NEA) as required.

7. Additional Duties

Conduct quality checks and inspections at various project stages. Assist in cost estimation, budgeting, and procurement tracking. Follow up on defects rectification and handover documentation. Prepare and handle CAD drawings when required. Perform any other ad hoc duties as assigned by the Project Manager or Management to support project execution and operational needs.
