An international project management company in Singapore is seeking a Project Administrator. This role involves coordinating daily project activities, maintaining project documentation, and liaising with stakeholders. Ideal candidates should possess a diploma or degree in Engineering or Project Management along with 2-5 years of experience in project coordination. Coordinate daily project activities across engineering, operations, vendors, and clients.
Maintain project schedules, trackers, action logs, and deliverables lists.
Organize project meetings, prepare agendas, record minutes, and track follow-ups.
Support project lifecycle administration from initiation to closure.
Monitor timelines and escalate delays or risks to project leads.
Maintain project documentation, contracts, drawings, and revision control.
Ensure documentation complies with company standards and regulatory requirements.
Track submission deadlines, approvals, and change requests.
Manage document transmittals and version control systems.
Liaise with internal departments, consultants, contractors, and clients.
Coordinate vendor onboarding, quotations, and procurement documentation.
Support communication between technical teams and non-technical stakeholders.
Prepare project status reports, dashboards, and progress summaries.
Track budgets, purchase orders, invoices, and project expenditures (administrative level).
Maintain risk registers and issue logs.
Support project audits and quality checks.
Assist engineering teams with resource planning and scheduling.
Coordinate site activities, service requests, and maintenance schedules (if applicable).
Support continuous improvement of project workflows and processes.
Diploma or Degree in Engineering, Project Management, Business Administration, or related field.
2–5 years experience in project coordination, engineering administration, or project support roles.
Strong organizational and documentation management skills.
Proficiency in MS Office, project tracking tools, and document control systems.
Good communication and stakeholder management skills.
Ability to manage multiple projects and deadlines simultaneously.
