Job description

We are seeking a Personal Assistant with strong project management skills and proficiency in Canva to support our management team.


The ideal candidate will handle administrative and client service tasks, coordinate media projects, and create visually engaging materials to enhance communication and workflow. This role is suited for someone who thrives in a dynamic insurance environment, is detail‑oriented, and enjoys balancing operational and creative responsibilities.


Key Responsibilities


  • Provide full‑spectrum secretarial and administrative support to the director of the team including flight bookings, accommodation arrangements, transportation coordination, and schedule management.

  • Prepare and compile itineraries, reports, presentations, and business correspondence.

  • Organise and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.

  • Liaise professionally with with underwriters, internal staff, external suppliers, and clients including scheduling, correspondence, and document management

  • Process insurance claims, ensuring accuracy and compliance with regulatory requirements.

  • Maintain and update client records, tracking policy changes and client interactions.

  • Prepare and distribute documents, including quotes, policy summaries

  • Use Canva to design presentations, reports, marketing materials, and client communications, ensuring all visuals are on‑brand and professional.

  • Collaborate with internal teams to ensure compliance with regulatory requirements and support continuous process improvement.

  • Support training of new staff on administrative processes and insurance‑related tasks.


Required Skills and Qualifications


  • 1+ years of experience in personal and or insurance administration or a similar support role.

  • Strong organizational and multitasking abilities, with proven project management skills.

  • Proficiency in Canva for designing visual content.

  • Excellent written and verbal communication skills.

  • High attention to detail and accuracy in documentation and data entry.

  • Ability to work independently, prioritize tasks, and adapt to changing priorities.

  • Proficiency with office software (Microsoft Office, Google Workspace) and insurance management systems.

  • Customer‑focused mindset with a professional and courteous attitude.

  • Knowledge of insurance policies, procedures, and regulatory requirements is preferred.


Preferred Qualifications


  • Diploma in Business Administration, Insurance, or a related field.

  • Experience supporting projects or process improvement initiatives.

  • Familiarity with claims processing and client service in an insurance environment.
