Made Brands Pte Ltd is seeking a hands-on Operations Executive to support warehouse operations, delivery coordination, and field execution for a growing FMCG distribution business in Singapore.

The role focuses on maintaining accurate inventory records, ensuring efficient order fulfilment and timely deliveries while working closely with warehouse staff, drivers, Van Sales Representatives, and Merchandisers.

Responsibilities

• Logistics Planning & Delivery Coordination: plan daily delivery routes and schedules; coordinate driver/vehicle assignments; monitor progress and escalate delays; handle urgent deliveries with sales and warehouse teams; ensure delivery orders and PODs are complete; track returns and outstanding orders; arrange vehicle servicing and report issues.
• Warehouse Operations & Inventory Control: coordinate receiving, storage, picking, packing, and dispatch; verify incoming goods against PO and delivery docs; maintain accurate inventory records and stock movements; apply FIFO/FEFO; conduct monthly stocktakes; investigate discrepancies.
• Van Sales & Merchandising Support: perform ad hoc checks of Van Sales Representatives and Merchandisers; verify routes and deliveries; check displays, stock rotation, pricing, and replenishment; report observations and follow up actions.
• Operational Reporting & Administration: prepare daily/monthly reports on delivery performance, inventory discrepancies, returns, and warehouse activities; maintain records; follow up on outstanding matters; identify workflow improvements.
• Operations & Sales Support (Ad Hoc): assist with picking, packing, loading/unloading; cover van sales routes when needed; perform other duties assigned by supervisor/manager.
• Work Schedule: may require early mornings, extended hours, or weekend work depending on operational needs.

About the Role

We are seeking a hands-on Operations Executive to support warehouse operations, delivery coordination, and field execution for our growing FMCG distribution business.

This role helps ensure accurate inventory records, efficient order fulfilment, and timely deliveries. The ideal candidate is organised, proactive, and comfortable working closely with warehouse assistants, drivers, Van Sales Representatives, and Merchandisers.

Key Responsibilities

Logistics Planning & Delivery Coordination

• Assist in planning daily delivery routes and schedules.

• Coordinate driver and vehicle assignments with the Operations Supervisor/Manager.

• Monitor delivery progress, follow up on delays, and escalate unresolved issues.

• Coordinate urgent or last-minute deliveries with sales and warehouse teams.

• Ensure delivery orders, proof of delivery, and return documents are complete and submitted promptly.

• Maintain delivery records and track failed deliveries, returns, and outstanding orders.

• Coordinate vehicle servicing and report vehicle faults or operational issues.

Warehouse Operations & Inventory Control

• Coordinate daily warehouse activities, including receiving, storage, picking, packing, and dispatch.

• Work closely with warehouse assistants to ensure orders are prepared accurately and ready for dispatch on time.

• Verify incoming goods against purchase orders and delivery documents, including quantities, condition, and expiry dates.

• Maintain accurate inventory records and ensure timely recording of stock movements.

• Ensure proper stock rotation using FIFO / FEFO.

• Conduct regular stock checks and support monthly stocktakes.

• Investigate stock discrepancies and report findings for review and corrective action.

• Monitor short shelf-life, damaged, and expired products, and flag items requiring action.

• Coordinate inbound deliveries and container unloading arrangements.

• Maintain warehouse cleanliness, safety, and compliance with company SOPs.

Van Sales & Merchandising Support

• Conduct assigned ad hoc checks of Van Sales Representatives and Merchandisers.

• Verify that customer visits and deliveries follow assigned routes and schedules.

• Check product displays, shelf arrangement, stock rotation, pricing accuracy, and replenishment at outlets.

• Record field observations and follow up on corrective actions with the relevant team.

• Report missed visits, stock issues, and execution gaps to the Operations Supervisor/Manager.

Operational Reporting & Administration

• Prepare daily and monthly reports on delivery performance, inventory discrepancies, returns, and warehouse activities.

• Maintain accurate operational records and supporting documentation.

• Follow up on outstanding operational matters with sales, warehouse, and administration teams.

• Identify practical improvements to daily workflows and highlight unnecessary costs or wastage.

Operations & Sales Support (Ad Hoc)

• Assist with picking, packing, loading, unloading, and delivery when required.

• Cover assigned van sales routes in the absence of the primary Van Sales Representative to ensure continuity of customer service and delivery.

• Carry out other operational duties assigned by the Operations Supervisor/Manager.
