Job summary

SEARCH PERSONNEL PRIVATE LIMITED is seeking an Operations Coordinator in Singapore (Alexandra) to manage order creation, processing, and shipping documentation. You will coordinate with customers, suppliers and internal teams to ensure accurate records and timely operations.

Ideal candidates have 3+ years in order management/logistics, familiarity with Incoterms, PO processing, and strong Excel skills. The role may require overtime and overseas travel as needed.

Qualifications

• Diploma or Degree in Supply Chain, Logistics, Business or a related discipline.
• At least three years of relevant experience in order management, supply chain, logistics or operations.
• Practical knowledge and experience using Incoterms.
• Hands-on experience generating and processing Purchase Orders.
• Experience coordinating shipments with customers, suppliers and freight forwarders.
• Familiarity with shipping documentation, supplier invoices and freight-related billing.
• Comfortable with occasional overtime and overseas travel where required.
• Proficient in Microsoft Office applications, especially Excel.

Responsibilities

• Manage order creation, processing and amendments accurately and on time.
• Handle end-to-end shipping documentation and maintain accurate shipment records.
• Coordinate with internal teams, customers, suppliers and other stakeholders on operational matters.
• Validate and reconcile supplier invoices before timely submission to Finance.
• Monitor freight and insurance billing, investigate discrepancies and prepare monthly reports.
• Support and improve RPA, AI-enabled and automation processes to enhance operational efficiency.
• Analyse operational issues, identify root causes and implement corrective and process-improvement actions.
• Maintain accurate records and documentation for operational and audit purposes.
