Job summary

Qualifications

• Knowledge of freight forwarding procedures, shipping docs, and customs regulations.
• Excellent organizational and time management skills; able to handle multiple tasks.
• Attention to detail and accuracy in documentation and data entry.
• Team player with ability to collaborate with stakeholders.
• Problem-solving mindset; proactive in handling operational challenges.
• Customer service orientation and willingness to learn in freight/logistics.

Responsibilities

• Coordinate and manage daily freight and cargo forwarding operations to ensure timely delivery.
• Liaise with clients, shipping agents, customs brokers, and stakeholders for cargo movement and docs.
• Monitor shipment status and provide updates to clients.
• Prepare and review shipping docs, bills of lading, invoices, and customs paperwork.
• Assist in booking cargo space with shipping lines and arrange transport.
• Handle enquiries and resolve issues including tracking and tracing.
• Maintain records of shipments, transactions, and operations in the system.
• Support port operations coordination, vessel schedules and warehouse activities.
• Identify process improvements for efficiency.
• Perform ad hoc admin and operations tasks as required.

About the role

We are seeking an Operation Executive to join Marine & Offshore Integrated Logistics (S) Pte Ltd in Singapore. This is a full-time position offering an exciting opportunity to be part of a dynamic operations team within the freight and cargo forwarding industry. As an Operation Executive, you will play a crucial role in ensuring the smooth and efficient execution of logistics operations, supporting the movement of cargo and freight services. This position offers exposure to various aspects of the logistics chain and provides a platform to develop your operational expertise in a fast-paced, professional environment.

Key responsibilities

• Coordinate and manage daily freight and cargo forwarding operations to ensure timely and accurate delivery of shipments

• Liaise with clients, shipping agents, customs brokers and other stakeholders to facilitate smooth cargo movement and documentation processes

• Monitor shipment status and provide regular updates to clients regarding their freight deliveries

• Prepare and review shipping documentation, bills of lading, commercial invoices and customs clearance paperwork

• Assist in booking cargo space with shipping lines and arrange transportation logistics

• Handle enquiries and resolve issues related to shipments, including tracking and tracing of cargo

• Maintain accurate records of shipments, transactions and operational activities in the company system

• Support the coordination of port operations, vessel schedules and warehouse activities

• Contribute to improving operational efficiency and identifying areas for process optimization

• Perform ad hoc administrative and operational tasks as required by management

What we're looking for

• 1-3 years of experience in freight forwarding, cargo operations, shipping or a related logistics function.
  Candidate with no experience may be considered as training will be provided.

• Strong knowledge of freight forwarding procedures, shipping documentation and customs regulations

• Excellent organizational and time management skills with the ability to handle multiple tasks and meet deadlines

• Strong attention to detail and accuracy in handling documentation and data entry

• Ability to work effectively in a team environment and collaborate with internal and external stakeholders

• Problem-solving mindset with the ability to handle operational challenges proactively
