Job description

The Marine Commercial Executive reports to the Commercial Person-in-Charge (PIC) and is responsible for coordinating commercial activities, maintaining project records, and ensuring effective communication between the commercial team, project teams, clients, subcontractors, and vendors.

Key Responsibilities

1. 1. Project Coordination and Updates

   Obtain ongoing and confirmed project details from the Commercial PIC. Communicate and update project information with the relevant internal teams. Maintain accurate and up-to-date project status records in the company’s systems.

2. 2. New Client Enquiries

   Receive and record new client enquiries. Coordinate with the Commercial PIC and relevant teams to follow up on enquiries. Update enquiry progress, quotation status, and project conversion status in the company’s systems.

3. 3. Material and Manpower Requirements

   Monitor and update material requirements for ongoing projects. Coordinate with project teams regarding manpower requirements and deployment schedules. Follow up on material availability, procurement status, and manpower arrangements to support project execution.

4. 4. Subcontractor and Vendor Quotations

   Request, collect, and follow up on quotations from subcontractors and vendors. Coordinate quotation reviews and comparisons with the Commercial PIC and relevant departments. Maintain quotation records and track approval and confirmation status.

5. 5. Invoicing and Payment Follow-up

   Coordinate with the relevant teams to prepare and submit project invoices. Follow up on outstanding invoices, payment status, and supporting documentation. Maintain proper invoicing records and update the Commercial PIC on outstanding commercial matters.

6. 6. Documentation and Reporting

   Maintain accurate records of client enquiries, project status, quotations, material and manpower requirements, and invoicing. Provide regular commercial and project updates to the Commercial PIC and relevant teams. Ensure timely follow-up on outstanding matters to support smooth project execution and commercial operations.
