MCI CAREER SERVICES PTE. LTD. is seeking a diligent Logistics Admin Executive in Singapore to support inventory, warehouse administration and stock control activities.

Responsibilities include maintaining accurate ERP/WMS records, processing stock movements, invoicing documentation, data entry, and coordinating with Procurement and Finance teams. Diploma holders with 1–3 years in warehousing or inventory roles are welcome; strong detail orientation and teamwork are essential.

Qualifications

  • Diploma in Logistics or related field is required or preferred.
  • 1–3 years of experience in warehouse, inventory, or related administrative work.
  • Fresh graduates with relevant internship experiences may be considered.

Responsibilities

  • Maintain accurate inventory records in the system.
  • Update stock receipts, transfers, issues and adjustments promptly.
  • Check stock against system records and report discrepancies.
  • Assist with stock reconciliation and variances investigations.
  • Support regular stock counts and cycle counts; prepare related records.
  • Coordinate inbound/outbound stock movements and ensure proper documentation.
  • Process customer invoices and perform data entry into ERP/WMS.
  • Maintain filing of goods receipts and stock documents.
  • Collaborate with Warehouse, Procurement and Finance teams on inventory matters.

Job description

Position: Logistics Admin Executive
Department: Logistics
Reports To: Logistics Manager
Key Responsibilities
1. Inventory Administration
  • - Maintain accurate inventory records in the system.
  • - Update stock receipts, transfers, issues and adjustments in a timely manner.
  • - Check physical stock against system records and report any discrepancies.
  • - Assist with stock reconciliation and investigate stock variances.
  • - Support regular stock counts and cycle counts.
  • - Maintain proper records for stock adjustments, damaged stocks and write-offs.
  • - Monitor stock levels and highlight potential shortages or excess stock.
2. Warehouse Administration
  • - Support daily administrative activities of the Warehouse.
  • - Prepare and maintain documents for inbound and outbound stock movements.
  • - Ensure all stock movements are properly recorded and supported by the required documents.
  • - Coordinate with Warehouse staff to ensure stock transactions are completed accurately.
  • - Assist in checking receiving and issuing documents against physical stock.
  • - Support proper filing and maintenance of warehouse records.
3. Stock Control
  • - Assist in monitoring stock accuracy and stock movement.
  • - Check for damaged, short, excess or missing stocks and report discrepancies.
  • - Communicate stock availability, shortages and out-of-stock situations to the Customer Service team.
  • - Assist in monitoring FIFO/FEFO requirements where applicable.
  • - Support stock ageing and slow-moving stock checks.
  • - Follow up with the Warehouse team on outstanding stock discrepancies.
4. System & Data Entry
  • - Process customer invoices and ensure all customer invoices are duly stamped and signed as proof of delivery and acknowledgement.
  • - Perform timely and accurate data entry into ERP/WMS and other relevant systems.
  • - Ensure system stock balances are updated according to actual warehouse movements.
  • - Maintain accurate records of inventory transactions.
  • - Prepare basic daily, weekly and monthly inventory reports.
  • - Assist in retrieving inventory information and documents when required.
5. Documentation & Filing
  • - Maintain proper filing of Goods Receipt, stock transfer, stock issue and adjustment documents.
  • - Ensure warehouse and inventory documents are complete and properly filed.
  • - Assist in preparing documents for internal and external audits.
  • - Maintain organised records for easy reference and retrieval.
6. Coordination & Support
  • - Work closely with Warehouse Operations, Procurement and Finance teams on inventory matters.
  • - Follow up on stock discrepancies and outstanding documentation.
  • - Highlight inventory issues to the Warehouse Supervisor/Manager.
  • - Support improvements to warehouse and inventory processes.
  • - Perform other duties as assigned by the supervisor/manager.

Mon - Fri (830am - 545pm), Sat (830am -1230pm) 5.5 days (Alternate Sat)

Requirements
  • - Diploma in Logistics, Supply Chain, Business Administration, Inventory Management or a related discipline.
  • - 1-3 years of experience in warehouse, inventory or related administrative work.
  • - Fresh Diploma graduates with relevant internship experience may be considered.
  • - Basic knowledge of warehouse and inventory operations.
  • - Experience with ERP/WMS systems will be an advantage.
  • - Good knowledge of Microsoft Excel and Microsoft Office.
  • - Good attention to detail and accuracy.
  • - Good organisational and time-management skills.
  • - Able to work independently and as part of a team.
  • - Good communication and coordination skills.
  • - Able to work in a fast-paced warehouse environment.
  • - Experience in food distribution, FMCG or cold-chain operations will be an advantage.
