The role supports management in coordinating NDAs, tenancy agreements, corporate records and office correspondence, ensuring timely execution and follow-up. You will liaise with internal teams and external counsel, maintain filing systems for contracts, licenses and permits, and handle confidential information with discretion.

Qualifications

  • Diploma or Degree in Law, Legal Studies, Business Administration, Corporate Administration or a related discipline.
  • Strong written and spoken English.
  • Good organisational skills with the ability to manage multiple deadlines.
  • Proficient in Microsoft Word, Excel, Outlook and general office applications.

Job description

The Legal & Administrative Executive is responsible for preparing, reviewing, coordinating, and maintaining the company's legal and administrative documentation. The role supports management in ensuring agreements, tenancy matters, corporate records, and general office documentation are properly prepared, organized, executed, and followed up.

Key Responsibilities
Legal Documentation
  • Draft, review and coordinate standard business agreements and legal documents.
  • Prepare and manage Non-Disclosure Agreements (NDAs), confidentiality agreements and other standard commercial documents.
  • Prepare, review and administer Tenancy Agreements, Lease Agreements, Letters of Offer, renewal documents and related correspondence.
  • Assist with drafting service agreements, vendor/supplier agreements and other business contracts.
  • Maintain proper records of signed agreements, expiry dates, renewal dates and contractual obligations.
  • Liaise with external lawyers when professional legal advice or more complex legal documentation is required.
Tenancy & Property Documentation
  • Coordinate tenancy documentation with landlords, managing agents and relevant parties.
  • Monitor lease commencement, expiry, renewal and notice periods.
  • Maintain records of security deposits, tenancy documentation, handover documents and related correspondence.
  • Assist management with documentation for new outlets, offices or premises.
Corporate & Office Administration
  • Prepare business letters, notices, correspondence, internal memos and other official documentation.
  • Maintain proper filing systems for contracts, licences, permits, insurance policies and corporate documents.
  • Assist with company administrative paperwork and document submissions.
  • Coordinate signatures, approvals and execution of documents.
  • Maintain confidentiality of sensitive company and management information.
  • Follow up on outstanding documents, approvals and contractual matters.
  • Provide general administrative and documentation support to management.
Requirements
  • Diploma or Degree in Law, Legal Studies, Business Administration, Corporate Administration or a related discipline.
  • Prior experience in legal administration, contract administration, corporate secretarial work or office administration preferred.
  • Able to independently prepare and review standard NDAs, tenancy agreements and business documentation.
  • Good written and spoken English.
  • Strong attention to detail and document-management skills.
  • Able to handle confidential and sensitive information professionally.
  • Good organisational skills with the ability to manage multiple deadlines.
  • Proficient in Microsoft Word, Excel, Outlook and general office applications.
  • Familiarity with Singapore business and tenancy documentation would be an advantage.
