ASIAN SEALAND OFFSHORE AND MARINE PTE. LTD. is seeking an organised HR & Admin professional to manage day-to-day HR tasks, with a focus on foreign workers and related administration in Singapore.
You will support recruitment, onboarding, payroll, and welfare coordination. Responsibilities include liaising with MOM/ICA, maintaining records, coordinating training, and ensuring compliance across documentation, pass matters, and employee databases, with a readiness to address urgent matters after
Handle day-to-day HR and administrative functions, with a primary focus on foreign workers (NTS) management, and support for general employees when required
Support recruitment activities (e.g., liaising with overseas recruitment agents for foreign workers)
Coordinate onboarding and offboarding of workers, including documentation and system updates
Manage dormitory arrangements, transportation, and welfare matters for workers
Arrange and follow up on medical appointments, certifications, and related records
Work closely with the Operations team on manpower planning and deployment
Manage and coordinate all training activities, including enrolment, payment requests, dissemination of course confirmation, participant training evaluation, updating training records, etc..
Manage all work pass matters (New applications, renewals, cancellations).
Assist in payroll processing, including timesheet consolidation and validation
Maintain and update employee records, P-files, and internal databases
Manage and update client portals for manpower records, submissions, and compliance requirements
Handle medical and insurance claims (i.e., WIC, FWMI, GHS, GPA), including coordination with employees, brokers, and medical providers
Liaise with relevant authorities (e.g., MOM, ICA) on office administration, personnel, and legal matters
Prepare minutes of meeting and general correspondence
Assist in company events and general office administration
May be required to remain contactable and respond to urgent matters after working hours, including dormitory-related emergencies and medical emergencies
Provide support across other HR scopes and general employee matters as assigned based on operational needs
Preferably 1 year of relevant experience in a similar role handling foreign workers
Basic knowledge of MOM regulations
Familiarity with Info-Tech will be an advantage
Proficient in Microsoft Excel (formulas, data tracking)
Detail-oriented and able to manage multiple tasks with accuracy
Able to communicate effectively and comfortable liaising with foreign workers, the operations team, and external stakeholders
Able to handle urgent matters and remain contactable after working hours when required
