Qualifications

  • Diploma or degree in HR, business administration, or related field.
  • Internship or work experience in HR operations, mobility, onboarding or general HR support advised.
  • Strong understanding of HR processes, employee documentation and work passes.
  • Meticulous with ownership and accuracy in HRIS data.
  • Good communication and interpersonal skills; able to work with employees, HRBPs and vendors.
  • Ability to multitask and meet deadlines; proactive and team‑oriented.
  • Proficient in Microsoft Office, especially Excel, Word and PowerPoint.
  • Experience with SAP or other HR systems advantageous.
  • Able to handle confidential information discretely.
  • Positive attitude and willingness to learn; able to work independently or in a team.

Responsibilities

Position: HR Executive

Reporting Manager: HR Operations Manager

The HR Executive plays a crucial role in supporting various aspects of human resources operations within the organization. This role will be responsible for employee mobility, onboarding, HRIS data management, employee engagement, and general HR support.

Mobility
  • Manage employee transfers, including coordinating with shipping vendors, arranging temporary accommodation, booking flight tickets to the new country, assisting with school enrolment, processing school fee payments, and other related matters. Collaborate with respective HRBPs and employees to ensure smooth immigration and work permit processes.
  • Work closely with the Compensation & Benefits team to provide guidance to employees on relocation support policies, procedures and benefits.
  • Monitor compliance with legal and regulatory requirements for cross-border assignments. Maintain accurate records of employee mobility data and related documentation.
Onboarding
  • Prepare letters for new hires, including Letters of Appointment, addendums, and other related documents.
  • Create relevant accounts for new hires, such as Travel portal access.
  • Manage benefits enrolment, including insurance, flex benefits, health screening and other applicable benefits.
  • Ensure that the necessary documents are received from HRBPs and new hires for payroll purposes.
  • Coordinate with HRBPs and departments to plan new employee orientations.
  • Develop and update onboarding materials, including handbooks, presentations and training modules. Gather feedback from new hires to continually improve the onboarding process.
HRIS Data Management
  • Manage data entry and data updates in the internal HRIS system, including employee personal information, employment details, reporting lines, job titles, cost centres, leave profiles and other relevant employee data.
  • Ensure employee records are accurate, complete and updated in a timely manner.
  • Support regular data checks to ensure consistency between HRIS and other internal HR platforms.
  • Assist in generating HR reports and maintaining data integrity for HR operations, payroll and reporting purposes.
Employee Engagement
  • Develop and execute engagement strategies to enhance workplace satisfaction.
  • Organize team-building activities, events and workshops to promote employee interaction.
  • Conduct surveys to assess employee morale and gather suggestions for improvement.
General HR Support
  • Manage all work pass-related matters, including Employment Pass, S Pass and Work Permit applications, renewals and cancellations.
  • Maintain accurate employee records in the Travel portal.
  • Provide guidance to employees on HR policies, procedures and benefits.
  • Stay updated on the latest changes, initiatives and best practices in HR, particularly in work pass management and mobility. Assist in HR projects, initiatives and any other ad hoc HR matters.
Qualifications

Requirements

  • Diploma or Degree in Human Resources, Business Administration or a related discipline.
  • Prior internship or working experience in HR operations, employee mobility, onboarding or general HR support would be an advantage.
  • Good understanding of HR processes, employee documentation and work pass matters.
  • Meticulous and detail-oriented, with a strong sense of ownership and accountability in maintaining accurate employee records and HRIS data.
  • Good communication and interpersonal skills, with the ability to work with employees, HRBPs and external vendors.
  • Able to manage multiple tasks, follow through on responsibilities and meet deadlines in a timely manner.
  • Proficient in Microsoft Office applications, especially Excel, Word and PowerPoint.
  • Comfortable working with HR systems and handling data entry, data updates and reporting.
  • Prior experience with SAP or other HR systems would be an advantage.
  • Able to handle confidential employee information with discretion and professionalism.
  • Positive attitude, willingness to learn and ability to work independently as well as in a team.
  • Takes accountability for assigned tasks and ensures timely follow-up until completion.
