Job summary

The Private Advertiser is seeking a Facilities Management & Procurement Manager to lead the company's facilities, procurement, and logistics functions. You will ensure safe, compliant operations while delivering cost-effective procurement and supply chain solutions.

You will oversee maintenance, vendor management, budgeting, and the performance of the Facilities, Procurement, and Logistics teams, driving energy efficiency and continuous improvement.

Qualifications

  • Bachelor's Degree in a related discipline.
  • Minimum 5–8 years of relevant experience in facilities management, procurement, or property operations, including 3–5 years in a managerial role.
  • Strong knowledge of building maintenance, procurement processes, contract management, logistics, and regulatory compliance.
  • Experience managing budgets, vendor contracts, and cross‑functional teams.
  • Excellent negotiation, analytical, problem‑solving, and communication skills.
  • Proficient in Microsoft Office and ERP procurement systems.

Responsibilities

  • Lead day-to-day operations, maintenance, and administration of all company buildings, facilities, and physical assets.
  • Develop and implement preventive and corrective maintenance programs to ensure optimal performance of building systems and equipment.
  • Coordinate contract administration, monitor project progress, and oversee installation, testing, commissioning, and maintenance of building systems and equipment.
  • Conduct regular inspections of buildings and facilities to ensure compliance with statutory requirements, safety standards, and company policies.
  • Investigate equipment failures and system breakdowns, perform root cause analysis, and implement corrective and preventive actions.
  • Plan, coordinate, and supervise building repairs, renovation projects, servicing, and improvement works.
  • Manage utilities including electricity, water, HVAC, and other building services while identifying opportunities for energy efficiency and cost optimisation.
  • Ensure all preventive maintenance contracts, service agreements, licences, certifications, and warranties are renewed and maintained before expiry.
  • Maintain accurate records of maintenance activities, asset registers, service reports, inspections, and facilities documentation.
  • Develop and manage the annual facilities operating and capital expenditure budgets, ensuring effective cost control.
  • Prepare monthly management reports covering facilities performance, maintenance activities, budgets, compliance status, and improvement initiatives.
  • Respond promptly to facilities-related issues, complaints, emergencies, and stakeholder escalations.
  • Ensure compliance with all applicable building regulations, environmental requirements, workplace health and safety legislation, and company policies.
  • Conduct regular workplace safety inspections, risk assessments, fire drills, and emergency preparedness exercises.
  • Ensure timely rectification of safety observations and compliance findings.
  • Maintain comprehensive documentation relating to inspections, permits, licences, safety audits, incident reports, and regulatory submissions.
  • Promote a safe, secure, and healthy working environment for employees, contractors, visitors, and tenants.
  • Lead and oversee the Procurement and Logistics team to ensure efficient sourcing, purchasing, inventory support, and logistics operations.
  • Develop and implement procurement strategies aligned with business objectives and operational requirements.
  • Source, evaluate, negotiate, and manage suppliers to achieve competitive pricing, quality, service levels, and delivery performance.
  • Ensure procurement activities comply with company policies, financial controls, legal requirements, and ethical procurement practices.
  • Collaborate with internal departments on procurement planning, requisitions, budgeting, supplier evaluations, and inventory requirements.
  • Oversee logistics planning, transportation, and distribution to ensure timely delivery of goods and services.
  • Continuously identify opportunities to improve procurement efficiency, reduce costs, and strengthen supplier performance.

Job description

The Facilities Management & Procurement Manager is responsible for leading the overall management of the Company's facilities, procurement, and logistics functions. The role ensures that all buildings, infrastructure, equipment, and support services operate safely, efficiently, and in compliance with regulatory requirements while delivering cost-effective procurement and supply chain solutions. The incumbent will oversee facility maintenance, vendor management, procurement activities, logistics operations, budgeting, and the performance of the Facilities, Procurement, and Logistics teams.

Key Responsibilities

A. Facilities & Building Management
