About the Role:
As a CBRE Facilities Coordinator (Events), you will assist with the coordination and execution of small to medium meetings, conferences, and events, serving as a primary point of contact for the Workplace Experience function and providing world-class customer service to clients and visitors of a designated building.
In addition to these primary responsibilities, this role carries secondary Facilities Coordinator duties, supporting the Facilities Management function by working with landlords, tenants, and service providers to ensure facility tasks and work orders are completed and that property procedures, policies, and reporting formats are properly implemented.
What You’ll Do:
Primary Duties — Meeting & Events Coordination
- Serve as the primary point of contact for smaller meetings and events; provide support for larger and more complex meetings and events as needed.
- Work with clients, vendors, and team members to coordinate guest services, including arrival experience, transportation, signage, displays, special needs requirements, printing, and event security.
- Create a hospitable environment for attendees, event owners, and vendors on the day of the event.
- Assist with conference room turnover and midday room refresh; reconfigure rooms for evening indoor and outdoor spaces, taking direction from senior team members.
- Respond to event activities such as gathering event supplies, equipment needs, food & beverage services, and facility security.
- Conduct room set up, refresh, and removal of food, beverage, and service items; maintain outlines of small space configurations, decor possibilities, and event-related items.
- Complete room checks and ensure technical and visual spaces are functional; troubleshoot audio and technical issues.
- Manage a small inventory of event supplies.
- Coordinate the master meeting and events calendar for small to medium-sized event spaces, and communicate the events schedule with team members and service providers.
- Assist with post-event reporting and reconciliation; escalates potential issues and concerns as appropriate.
- Manage season parking for the facility assigned.
- Manage office moves or re-stacking of staff within the office premise.
Secondary Duties — Facilities Coordination
- Work with landlords, tenants, and service providers to make sure they implement and recognize all procedures, policies, and reporting formats.
- Acknowledge client inquiries and collect work orders.
- Collect information reports to track performance and progress status.
- File work orders, proposals, department files, and other paperwork submitted by vendors.
- Monitor activities that happen outside the building, such as proper waste disposal and recycling.
- E-waste management
What You’ll Need:
- High School Diploma or GED with up to 2 years of job-related experience.
- Fulfill the physical requirements associated with this role, including stooping, standing, walking, and climbing stairs; must be able to lift/carry heavy loads of 50 lbs. or more.
- Ability to follow basic work routines and standards in the application of work.
- Communication skills to exchange straightforward information.
- Working knowledge of Microsoft Office products (Word, Excel, Outlook, etc.).
- Strong organizational skills with an inquisitive mindset.
