About the Role

As a Facilities Coordinator (Events) you will play a highly visible, hands‑on role in shaping the day‑to‑day workplace experience. Your core focus will be supporting soft services operations and workplace coordination to ensure the office runs smoothly and efficiently.

In addition, you will provide events coordination support on an as‑needed basis, assisting with corporate events and conferences when required. This is not a full‑time events role, but an add‑on responsibility that supports business needs as they arise.

This role is ideal for someone who enjoys being on the move, working closely with people, solving problems in real time, and taking pride in delivering consistently high service standards. Your presence, attention to detail, and proactive mindset will directly impact user satisfaction and how the workplace is experienced every day.

What You’ll Do
  • Generate, track, and maintain reports related to meeting rooms, events, and calls as required.
  • Manage general administrative and soft services operations such as janitorial services and other assigned services.
  • Conduct daily office inspections to ensure facilities, front office, lobby areas, and office equipment are fully operational and well maintained.
  • Ensure day‑to‑day operational excellence for sites under your coordination, meeting agreed SLAs and KPIs for self‑service requests and helpdesk support.
  • Support asset and inventory management, ensuring critical items are tracked, available, and properly documented.
  • Provide day‑to‑day operational management of vendors, ensuring timely response within SLA, no downtime for critical services, and effective handling of escalated customer complaints.
  • Ensure all facilities‑related documentation is properly filed, maintained, and inventoried at site.
  • Coordinate and oversee pantry supplies, stationery, and first aid items replenishment, working with housekeeping to ensure pantry and vending machines are consistently stocked.
  • Ensure employee services are delivered in line with customer expectations and within SLAs and KPIs, obtaining necessary approvals for any ad‑hoc or special requests prior to implementation.
  • Support finance‑related activities by verifying vendor invoices, goods receipts (GR), and payment documentation, and assisting with the issuance of purchase orders for ad‑hoc requirements.
  • Assist in the preparation of reports and operational analysis as needed.
  • Follow all department policies, procedures, and service standards.
  • Actively participate in annual and site‑wide activities such as fire drills, building power shutdowns, and other operational events.
  • Remain mobile across the workplace, performing daily check‑ins around the front office and lobby, identifying issues early, resolving disruptions quickly, and contributing ideas to continuously improve workplace performance and user satisfaction.
  • Provide ad‑hoc coordination support for conferences and large group events when required, assisting across the event lifecycle from initial request through execution and post‑event activities.
  • Liaise with requestors and users to understand event objectives, requirements, and logistical needs, ensuring expectations are clearly defined and supported.
  • Support meeting room and event space utilisation by assisting with room reservations and space management processes, resolving scheduling conflicts, and coordinating space requirements with stakeholders as needed.
  • Support day‑of event execution when required by coordinating with internal teams and vendors, assisting with last‑minute logistics, setup, and smooth delivery.
  • Build and maintain strong working relationships with vendors, internal teams, and key stakeholders through open communication, collaboration, and engagement.
  • Perform post‑event support tasks when applicable, including expense processing, basic event reporting, and assisting with the collection of feedback from requestors.
What You’ll Need
  • Diploma or Degree in Facilities Management, Hospitality, Business Administration, or a related field is preferred.
  • Experience in facilities operations or soft services roles within an office or corporate environment; exposure to corporate events coordination is an advantage.
  • Strong coordination and communication skills with the ability to work effectively with users, vendors, and internal teams.
  • Hands‑on, detail‑oriented, and comfortable working in a fast‑paced, onsite role.
  • Ability to prioritise tasks, respond quickly to issues, and manage multiple activities at the same time.
  • Basic understanding of SLAs, KPIs, vendor coordination, and invoice processing.
  • Proficiency in Microsoft Office and workplace or facilities management systems.
  • Physically mobile and comfortable performing regular walkthroughs of office spaces and common areas.
  • A proactive, service‑driven mindset with a natural ability to spot issues and suggest practical solutions.
