We are partnering with a fast-growing Singapore-based company with international operations across Asia, the Middle East and Europe. Through a lean, high-performing team, the business manages a complex network of clients, suppliers, logistics partners and advisors across specialised industries.
This role sits at the centre of the CEO's office: translating meetings, instructions and business opportunities into structured tasks and ensuring every initiative reaches a clear outcome.
This is a high-ownership role suited to someone who is uncomfortable leaving things without a result.
Job Responsibilities
CEO Time & Information Management
- Manage the CEO's schedule, meetings, travel and priorities; filter noise and provide a short daily summary of key actions
- Prepare a concise Meeting Brief for each key engagement; convert verbal instructions and ad-hoc ideas into clear, assignable tasks
- Accompany the CEO on domestic and international trips as required
Client Relationship & Business Opportunity Follow-Up
- Prepare complete meeting notes; extract real needs, decision structure and next steps
- Draft and send post-meeting follow-ups; track each opportunity with a clear owner and deadline
- Handle routine correspondence and scheduling within authorised scope on behalf of the CEO
Business Research & Meeting Preparation
- Brief the research team for each meeting; synthesise findings into concise, actionable formats — never forward raw materials unprocessed
- Identify information gaps and ensure they are closed before each meeting
Business Proposals & Document Management
- Coordinate drafting of proposals, company introductions, client letters, meeting notes and bilingual business emails
- Maintain version control and document records; submit for approval before dispatch
Internal Project Coordination & Closure
- Break CEO instructions into tasks with single owners and deadlines; follow up daily on outstanding items
- Report to the CEO with five elements: what happened, why a decision is needed, available options, recommended course of action, and latest deadline
Quotation, Contract & Payment Process Coordination
- Coordinate the full quotation-to-contract process across the sourcing and back office teams
- Ensure all pricing and commitments are approved through the company's authorisation framework; verify compliance checks for regulated products before any formal commitment
Job Requirements
- Bachelor's degree or above
- Excellent spoken and written proficiency in both English and Chinese to liaise with Chinese counterparts; able to independently draft professional bilingual business correspondence
- Strong project management skills; able to manage multiple priorities simultaneously
- Proven ability to drive tasks to completion, not just coordinate or track
- High discretion, professional judgement and accountability for deadlines and closed loops
- Comfortable working with senior stakeholders, government agencies and international partners
- Willing and able to travel internationally, including to the Middle East
- Proficient in Microsoft Office, Google Workspace, Notion or equivalent tools
- Experience in a CEO Office, Chief of Staff, senior EA, consulting, international trade or business development role is preferred
- Background in defence, security, engineering, supply chain or commodities is an advantage
- Familiarity with quotation, contract and payment processes in a trading or project environment
- Experience in Singapore, China or Middle East business contexts is a plus
