Job summary

Michael Page International is seeking an experienced executive assistant to support senior leadership in a fast-paced, cross-border environment across Asia.

You will manage complex calendars, coordinate travel with detailed itineraries, prepare agendas and briefing packs, organize leadership and board meetings, track priorities, handle confidential documents and expenses, and collaborate with teams in Singapore, China, Vietnam and Indonesia to ensure smooth regional execution.

Qualifications

  • 5 years or more of relevant executive or administrative support experience within a corporate environment.
  • Highly organised and proactive, with the ability to anticipate requirements, manage competing priorities and follow through independently.
  • Strong stakeholder management and coordination skills, coupled with discretion when managing commercially sensitive or confidential matters.
  • Adaptable and dependable, with the ability to maintain accuracy and professionalism when priorities change.
  • Strong proficiency in Microsoft Office, expense claims system, virtual collaboration platforms and AI tools.

Responsibilities

  • Complex calendaring prioritising engagements and proactively resolving scheduling conflicts.
  • Coordinate business travel, including detailed itineraries, accommodation, transportation and contingency arrangements.
  • Organise leadership, board and external meetings, ensuring logistics, materials and follow-up actions are managed effectively.
  • Prepare agendas, briefing packs, background information and other materials to support executive decision-making.
  • Track leadership priorities and action items, engaging relevant stakeholders to help keep deliverables on schedule.
  • Coordinate with teams across Singapore, China, Vietnam and Indonesia to facilitate smooth execution of regional activities.
  • Manage expenses, invoices and confidential documents.
