The Executive Assistant & Office Manager is a highly visible role that combines office operations with executive support for the APAC Senior Leadership Team. Based in Singapore, you will help create an exceptional workplace experience while ensuring senior leaders are supported efficiently across a fast-paced, international environment.
What Will You Do
- Ensure the smooth day-to-day operation of our Singapore office, creating a professional, welcoming, and productive workplace for employees and visitors.
- Act as the primary point of contact for office-related matters, managing relationships with vendors, building management, service providers, and internal stakeholders.
- Oversee workplace services, facilities, office supplies, budgets, invoices, and administrative processes to support efficient business operations.
- Coordinate onboarding, transfers, workspace arrangements, employee support requests, leadership visits, and office events.
- Provide professional Executive Assistant support to the APAC GVP and other designated members of the APAC Senior Leadership Team.
- Manage complex calendars, meetings, travel arrangements, expenses, and follow-up actions across multiple countries and time zones.
- Prepare presentations, reports, correspondence, and meeting materials while handling sensitive and confidential information with discretion.
- Build strong relationships with stakeholders across APAC and globally, ensuring seamless coordination and communication.
- Anticipate needs, solve problems proactively, and identify opportunities to improve processes, employee experience, and operational efficiency.
Who You Are
- You have at least 8 years of experience in Executive Assistant, Office Manager, workplace administration, or similar senior support roles, ideally within a multinational organization.
- You have a proven track record of supporting senior executives and managing multiple priorities with professionalism, sound judgment, and attention to detail.
- You are highly organized, proactive, resourceful, and comfortable working independently in a fast-paced environment.
- You have experience managing office operations, facilities, vendors, budgets, meetings, and international travel arrangements.
- You are an excellent communicator with strong stakeholder‑management skills and experience working across cultures and time zones.
- You are proficient in Microsoft 365 applications including Outlook, Teams, PowerPoint, Word, and Excel; experience with Copilot, Canva, or other AI‑enabled productivity tools would be an advantage.
- You have excellent written and verbal communication skills in English; additional Asian language skills may be beneficial when supporting stakeholders across the APAC region.
- You hold a Diploma, Bachelor's degree, or equivalent relevant professional experience.
