Job summary

Adecco is seeking an experienced Executive Assistant to provide comprehensive administrative and operational support to senior stakeholders across a regional environment.

The role requires a highly organised, proactive professional who can manage multiple priorities, coordinate schedules and liaise with internal and external stakeholders to ensure smooth business operations and effective meetings and events.

Qualifications

  • Degree in Business Administration or related discipline.
  • Experience in Executive Assistant, Personal Assistant, Administrative, Office Management, Events or a similar role.
  • Experience supporting senior stakeholders in a professional or corporate environment.
  • Experience in event or meeting coordination will be an advantage.
  • Prior experience working in an international or regional environment is preferred.
  • Excellent command of spoken and written English with strong communication and interpersonal skills.
  • Additional language skills will be an advantage.
  • Confident in engaging with internal and external stakeholders at different levels.
  • Highly organised with excellent attention to detail and strong time management skills.
  • Strong proficiency in Microsoft Office applications, including Word, Excel and PowerPoint.
  • Professional and polished communication style with strong stakeholder management capabilities.

Responsibilities

  • Manage calendars, schedules and meetings for senior stakeholders, including coordinating appointments, preparing meeting information and following up on action items.
  • Coordinate domestic and international travel arrangements, including flights, accommodation and travel documentation where required.
  • Provide administrative support for business activities, meetings and events, including preparing materials, conducting research and organising information for presentations and reports.
  • Manage expense claims and reimbursements, ensuring accurate documentation and compliance with internal processes.
  • Draft professional correspondence and coordinate follow-ups with internal and external stakeholders.
  • Support the planning and coordination of meetings, events and other business activities.
  • Assist with internal administrative processes including onboarding, procurement and general office coordination.
  • Provide logistical support for visiting stakeholders and business partners where required.
  • Maintain accurate records, documentation and administrative information.
  • Support day-to-day office and operational requirements to ensure smooth business activities.
  • Handle ad hoc administrative and coordination tasks as required.
