Job description

Our client, a leading Multinational Technology company, is in search of Executive Assistant to support diary and calendar management for the Asia team.

Responsibilities
  • Oversee the manager's calendar and handle meeting arrangements and logistics, tailored to their needs and business priorities.
  • Efficiently resolve scheduling conflicts through prioritization and delegation, keeping the manager informed of changes.
  • Streamline decision-making processes by addressing uncertainties and assisting with meeting preparation.
  • Attend essential meetings and assist in tracking follow-up actions as needed.
  • Build and maintain a robust network across the organization to support team initiatives.
  • Act as a bridge between executives and other teams, ensuring smooth communication and collaboration.
  • Assist with team management activities, including headcount tracking, recruitment, and onboarding/offboarding.
  • Prepare templates and materials for monthly team meetings and manage distribution lists.
  • Plan and coordinate both virtual and in-person events by collaborating with suppliers and team members.
  • Partner with Global Talent Acquisition to facilitate both internal and external recruitment processes. Work closely with hiring managers to streamline hiring procedures and provide support for intern and university recruitment efforts. Ensure a positive onboarding experience for new employees.
  • Plan and execute morale-building events for the team and broader division-wide activities. Organize team celebrations such as birthdays and anniversaries
  • Manage travel logistics for the manager and team, including accommodations and transportation. Develop itineraries and set travel expectations to ensure optimal productivity during trips.
  • Submit and track reimbursement requests for travel and other expenses using the expense management tool.
Qualifications
  • Bachelor's Degree or equivalent
  • With at least 1–4 years of experience in an executive assistant role, with preference given to candidates who have supported senior-level executives.
  • Proven expertise in managing complex calendars across multiple time zones.
  • Ability to thrive in dynamic and cross-functional team environments, proactively supporting the team's needs.
  • Strong networking skills; adaptable, proactive, and highly organized.
  • Skilled in anticipating the manager's needs and maintaining alignment on agendas and priorities.
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel).
