Job summary

VITAL, a Singapore public service department under Ministry of Finance, seeks a Senior Manager/Manager to lead digitisation of ePfile and onboarding agencies to ePfile system eHIVE. You will coordinate with agencies, internal teams and DA Digitisation vendors to deliver a reliable digitisation experience and strong service delivery.

The role includes operations, reporting, and system administration for Records and Document Management, and potential team leadership.

Qualifications

• Hands-on, organised leader with experience managing people and processes.
• 6–8 years of relevant experience in service and operations.
• Excellent communication and stakeholder management skills.
• Experience in vendor relationships and client-facing functions.
• Hands-on system administration experience of a records management system.

Responsibilities

• Leading, mentoring, and developing a team, fostering a collaborative team culture
• Overseeing workload allocation and day-to-day operations to meet service standards
• Conducting regular performance reviews and coaching to support growth
• Liaising with agencies on physical Pfiles and digitalisation requirements
• Guiding DA Digitisation vendors on client-specific requirements
• Managing end-to-end onboarding of agencies onto the ePfile system
• Identifying and implementing workflow improvements to raise efficiency
• Preparing and presenting regular reports on performance and onboarding progress
• Administering user access in Records and Document Management systems
