Job summary

Sarva Fine Arts Pte. Ltd. is seeking an organised E-Commerce & Store Executive to independently run the day-to-day online store operations. You will oversee sourcing, inventory, product listings, orders, packaging and deliveries, with close coordination with the marketing/social media team.

The role requires strong attention to detail, ownership of the store, and experience in e-commerce/retail operations. 5-day work week in Singapore with full-time responsibilities.

Qualifications

• Experience in e-commerce, retail operations, inventory management, or a related role is preferred.
• Shopify experience is an advantage.
• Strong organisational and inventory-management skills.
• Good attention to detail and accuracy.
• Able to work independently and take ownership of online-store operations.

Responsibilities

• Liaise with suppliers, source new suppliers, request quotations and negotiate pricing and delivery timelines.
• Maintain accurate inventory records and organise stock for easy fulfillment.
• Manage SARVA online store on Shopify, update product listings, prices and variants.
• Promote and respond to inquiries via Instagram and other social channels; coordinate with marketing.
• Process online orders: pick, pack, label, and arrange delivery; monitor status.
• Maintain store organisation, packaging supplies and simple receiving/dispatch systems.
• Prepare stock and sales reports; identify fast/slow moving items and report issues.

About the Role

Sarva Fine Arts is looking for an organised, responsible andhands-on E-Commerce & Store Executive to independently manage theday-to-day operations of our online store.

The role covers the complete store process — from sourcingand ordering products to inventory management, online product listings, orderprocessing, packing and delivery coordination.

We are looking for someone who is highly organised,detail-oriented and able to take complete ownership of the store operations.

Key Responsibilities

Supplier & Purchasing Management

• Liaise with existing suppliers and source new suppliers when required.
• Request quotations and negotiate pricing, quantities and delivery timelines.
• Place purchase orders and follow up with suppliers.
• Coordinate incoming shipments and product deliveries.
• Check received products for quantity, quality and accuracy.
• Maintain supplier and purchasing records.

Inventory & Stock Management

• Maintain accurate inventory records for all products.
• Organise and label stock systematically for easy identification and fulfilment.
• Conduct regular stock checks and reconciliations.
• Monitor stock levels and identify products that need replenishment.
• Prevent stock shortages, excess inventory and discrepancies.
• Update inventory accurately whenever products are received, sold, exchanged or returned.

Shopify Store Management

• Manage and maintain the SARVA online store on Shopify.
• Create and update product listings, descriptions, images, prices and variants.
• Update stock quantities and product availability.
• Add new products and collections.
• Ensure product information displayed online is accurate and up to date.
• Process online orders and monitor order status.

Instagram & Online Sales

• Maintain the store's Instagram presence.
• Upload product photos, reels, stories and new-arrival updates.
• Respond to product and order enquiries.
• Direct customers to the online store and assist with purchases when required.
• Coordinate with SARVA's marketing/social media team for promotional campaigns where necessary.

Order Fulfilment

• Receive and process customer orders.
• Pick and pack products carefully and accurately.
• Prepare shipping labels and delivery documentation.
• Coordinate courier and local delivery arrangements.
• Track deliveries and follow up on delayed or unsuccessful deliveries.
• Handle exchanges, returns and order-related issues according to company policies.

Store Organisation

• Maintain a clean, organised and properly labelled stock/storage area.
• Ensure products and packaging materials are stored appropriately.
• Maintain sufficient packaging supplies.
• Establish simple systems for efficient receiving, storage, picking, packing and dispatch.

Reporting & Administration

• Maintain accurate records of purchases, inventory and orders.
• Prepare regular stock and sales reports.
• Highlight fast-moving, slow-moving and low-stock products.
• Report supplier, inventory or fulfilment issues promptly.
• Recommend improvements to store operations and product assortment.

Requirements

• Experience in e-commerce, retail operations, inventory management, online sales or a related role is preferred.
• Experience with Shopify is an advantage.
• Comfortable using Instagram and other social media platforms for product promotion.
• Strong organisational and inventory-management skills.
• Good attention to detail and accuracy.
• Comfortable communicating and negotiating with suppliers.
• Able to handle packing and physical stock organisation.
• Basic photography/content-creation skills would be an advantage.
• Good written and spoken English.
• Able to work independently and take ownership of the complete online-store operation.
