Position Overview
We are seeking an experienced Document Controller to support engineering and project activities within the Oil & Gas industry. The successful candidate will be responsible for managing project documentation, maintaining document control systems, coordinating document workflows, and ensuring accurate and timely submission, review, approval, distribution, and archiving of project records.
The role is primarily focused on MAC (Main Automation Contractor) / engineering support activities and requires strong coordination with engineering disciplines, contractors, vendors, and project stakeholders.
Key Responsibilities
- Manage the complete lifecycle of engineering and project documentation from creation through final archiving.
- Maintain controlled registers for engineering documents, drawings, specifications, calculations, vendor documents, correspondence, and technical submissions.
- Coordinate document submissions, reviews, comments, approvals, revisions, and re-submissions.
- Monitor document status and follow up with engineers, vendors, contractors, and project teams to ensure timely deliverables.
- Support MAC-related engineering documentation, including instrumentation, control systems, automation, electrical interfaces, and associated project deliverables.
- Ensure documents are correctly numbered, titled, classified, revised, distributed, and stored in accordance with project procedures.
- Maintain document transmittals and ensure accurate distribution to relevant stakeholders.
- Track overdue documents, review comments, approvals, and outstanding actions.
- Coordinate with engineering disciplines to maintain accurate Master Document Registers (MDR) and document status reports.
- Support preparation of weekly/monthly document control reports and progress dashboards.
- Ensure compliance with project document control procedures, client specifications, and quality requirements.
- Manage incoming and outgoing correspondence and maintain appropriate records.
- Assist with document audits and provide traceability of document revisions and approvals.
- Support project close-out activities, including compilation and handover of final documentation and records.
- Ensure proper handling of confidential and controlled project information.
MAC / Engineering Support Focus
The candidate should preferably have experience supporting a Main Automation Contractor (MAC) environment, including documentation associated with:
- Distributed Control Systems (DCS)
- Safety Instrumented Systems (SIS)
- Instrumentation and control engineering
- Cause & Effect documentation
- I/O lists and instrument indexes
- Control narratives and functional specifications
- Logic diagrams and control system documentation
- Vendor documentation
- Engineering drawings and technical deliverables
- Interface documentation between MAC, EPC contractors, vendors, and client teams
- Engineering review/comment cycles and document close-out
Required Experience & Qualifications
- 5–7 years of relevant Document Control experience, preferably within Oil & Gas, LNG, Petrochemical, Energy, Marine, or EPC projects.
- Strong experience in engineering/project document control, preferably with significant exposure to MAC or automation projects.
- Diploma or Degree in Engineering, Business Administration, Information Management, or a related discipline.
- Familiarity with engineering documentation and project workflows.
- Experience working with multiple contractors, vendors, engineering disciplines, and project stakeholders.
- Good understanding of document numbering, revision control, transmittals, MDRs, document status tracking, and close-out processes.
- Proficiency in Microsoft Office, particularly Excel, Word, Outlook, and SharePoint or equivalent document management platforms.
- Experience with electronic document management systems such as Aconex, SharePoint, EDMS, or equivalent is preferred.
- Strong attention to detail and ability to maintain document accuracy and traceability.
- Good written and verbal communication skills.
Preferred Skills
- Previous experience supporting MAC / automation engineering teams.
- Experience in large-scale EPC or brownfield/greenfield Oil & Gas projects.
- Familiarity with engineering deliverable schedules and project milestones.
- Ability to identify document gaps and proactively follow up with responsible parties.
- Strong coordination and stakeholder-management skills.
- Ability to work independently in a fast-paced project environment.
- Singapore-based candidates with relevant local project experience are preferred.
