Job summary

TRUST RECRUIT PTE. LTD. is seeking an experienced coordinator to manage customer orders, quotations, and logistics.

You will liaise with international customers and freight partners to ensure timely delivery and accurate documentation. The role requires SAP familiarity, Excel proficiency, and the ability to work independently in a fast-paced environment. You will support service and billing activities, monitor lead times for equipment and spare parts, and coordinate with internal quality teams

Qualifications

• Diploma or Degree in Business & Administration required.
• 3–5 years in customer service, order management, or logistics coordination.
• Experience liaising with international customers and cross-border operations.
• SAP experience; ERP systems familiarity is a plus.
• Proficient with Microsoft Excel; strong attention to detail.

Job description

Job Responsibilities:

• Prepare sales quotations based on customer and sales team requirements.
• Liaise with international customers and external logistics partners on order, delivery and shipment-related matters.
• Process customer orders accurately and follow up on delivery schedules, including system project orders, purchase orders, sourcing and logistics coordination.
• Coordinate shipment release for picking and packing, and liaise with freight forwarders to arrange collection.
• Support Field Service activities, including service order processing and billing coordination.
• Liaise with customers and internal quality teams to coordinate the resolution of quality-related issues and complaints.
• Monitor and update equipment and spare parts lead times.
• Follow up on incoming shipments, including equipment parts and system project-related materials.
• Provide general administrative and operational support, including ad-hoc activities as required.

Key Performance Areas:

• On-Time Delivery: Ensure customer orders are processed and delivered according to agreed or requested timelines, while maintaining accurate delivery dates.
• Order Accuracy: Ensure customer orders are entered accurately, including Incoterms, payment terms and applicable MTS/MTO requirements.
• Material Management: Ensure accurate material and part-number extensions in the system.
• Timely Invoicing: Prepare and issue invoices within two working days after delivery, taking relevant Incoterms such as DAP into consideration.
• Quality Management: Coordinate promptly between customers and internal quality teams to address and follow up on quality-related matters.

Job Requirements:

• Diploma or Degree in Business & Administration.
• With 3 - 5 years of experience in customer service, order management, sales administration, logistics coordination or a related field.
• Experience liaising with international customers and supporting cross-border business operations.
• Working knowledge of SAP; experience with order processing or ERP systems is advantageous.
• Proficient in Microsoft Office, particularly Excel.
• Good understanding of international payment terms and Incoterms.
• Able to work independently, manage priorities and handle operational matters in a timely manner.
