Job summary

Geberit South East Asia Pte Ltd is seeking a Logistics Coordinator to handle order processing for Southeast Asia and Japan, ensure accurate pricing and discounts, and coordinate shipments with SAP systems. You will maintain documentation, respond to inquiries, and manage order status across teams.

You will build relationships with internal factories and customers, ensure timely invoicing, and support LC negotiations while upholding group policies and data accuracy.

Qualifications

Responsibilities

• Process customer purchase orders for Southeast Asia and Japan within approved pricing and discount structures.
• Verify selling price and discounts with Head of Sales before SAP order processing.
• Ensure timely order processing and invoicing per SAP procedures and standards.
• Provide advanced shipping notifications and complete shipment documentation.
• Respond promptly to customer inquiries and resolve issues professionally.
• Maintain accurate order status in weekly sales/order reports with data precision.
• Prepare shipping and banking docs for LC negotiations.
• Build strong relationships with internal and external stakeholders to facilitate fulfillment.
• Proactively follow up with SEA customers regarding outstanding AR.
• Adhere to group policies and internal controls; identify process optimization opportunities.
• Generate and analyze reports to track order processing performance.

Job description

Key Responsibilities:

Order Processing & Fulfillment:

• Process customer purchase orders for Southeast Asia and Japan, ensuring adherence to approved pricing and discount structures in sales quotations within management guidelines.
• Verify with the Head of Sales (HOS) to confirm that the correct selling price and approved discounts are accurately reflected in sales quotations and customer purchase orders prior to SAP order processing.
• Ensure timely and accurate order processing and invoicing in compliance with established SAP procedures and order processing standards.

Customer Service & Logistics Coordination:

• Deliver a high standard of customer service by proactively providing advanced shipping notifications and ensuring complete and accurate shipment information and documentation.
• Respond promptly and professionally to customer inquiries, providing updates and resolving issues effectively.
• Maintain accurate and up-to-date order status in weekly Sales and Orderbook reports with a strong focus on data precision.
• Prepare necessary shipping and banking documentation for Letter of Credit (LC) negotiations.
• Build and maintain strong relationships with internal stakeholders (Geberit Europe and China factories) and external stakeholders (customers) to facilitate smooth fulfillment operations.
• Proactively follow up with Southeast Asia customers regarding outstanding Accounts Receivable.

Continuous Improvement & Compliance:

• Adhere to internal controls and best practices in accordance with group policies.
• Regularly review order processing workflows and documentation with manager to identify opportunities for process optimization and efficiency gains.
• Generate and analyze reports to track order processing performance and identify areas for operational improvement.

Pre-Requisites:

• Minimum Education: Diploma or relevant certifications in Logistics, Supply Chain Management, or a related discipline.
