Job summary

COENS ENERGY PTE. LTD. is seeking a Project Control Assistant to support the Project Manager and management team across Asia, focusing on quality, schedule, cost, change orders, and reporting.

You will collect and consolidate project information from sites, maintain IMS documentation, and prepare meeting materials and minutes in English and Japanese where required. You will also develop monthly performance reports and dashboards for management review.

Qualifications

• Bachelor's degree in Management, Business, Engineering, Hospitality, or related discipline.
• Experience in project control, document control, or project coordination.
• Exposure to quality, safety, and environmental management is preferred.
• Understanding of project cost control, budgeting, and financial reporting.
• Familiarity with construction project management terminology.
• Proficiency in MS Excel, Word, and PowerPoint.
• Basic knowledge of Power BI, Power Apps, Power Automate.
• Strong communication in English; Japanese preferred for bilingual docs.

Responsibilities

• Collect and consolidate project information and documentation from construction sites across Asia.
• Maintain accurate and well-organized project records using MS Office and document management tools.
• Manage IMS documentation and assist during IMS audits.
• Coordinate with project, safety, and environmental teams to maintain compliance.
• Attend project meetings and prepare meeting materials, reports, and presentations.
• Prepare accurate meeting minutes in English and Japanese as required.
• Prepare and consolidate monthly project performance reports covering progress, costs, and safety metrics.
• Analyze project financial and operational data to identify trends and improvements.
• Prepare management reports and dashboards to present project performance clearly.
• Facilitate communication between management, project teams, and stakeholders.
• Respond to project information requests and disseminate documents timely.
• Utilize Excel, Word, PowerPoint, and analysis tools to present information effectively.
