Job summary

Bank of America Singapore is seeking an experienced executive administrative assistant to provide confidential support to senior leaders and the team.

You will manage complex calendars, coordinate travel, screen calls, process expenses, and assist with onboarding, events, and daily office operations.

The ideal candidate has 3+ years in executive support, excellent communication and organizational skills, and the ability to work under tight deadlines in a financial services setting.

Qualifications

  • At least 3 years of executive-level admin support experience.
  • Experience in a financial institution, particularly within Global Markets preferred.
  • Excellent communication and organizational skills.
  • Ability to work under tight deadlines with minimal supervision, and willingness to work extended hours or weekends when needed.
  • Self-motivated with a proactive mindset and ability to work as part of a team.
  • Professional and diplomatic handling of sensitive situations and client interactions.
  • Fluent in English.

Responsibilities

  • Provide full administrative support to executives and team
  • Manage complex calendars, scheduling internal/external meetings and resolving conflicts
  • Screen and handle incoming calls with discretion and proper prioritization
  • Coordinate complex travel logistics (flights, visas, itineraries)
  • Process expense claims and invoices in line with company policies
  • Support onboarding of new hires/transferees (system setup, equipment, office arrangements)
  • Provide logistics support to regional and global visitors
  • Support events logistics with proper approval and record keeping
  • Perform general office administrative duties
  • Accurately document and relay messages with appropriate judgment and provide hands-on on-site support

Job Description:

This job is responsible for providing diverse and confidential administrative support, including greeting and directing customers, associates, or other visitors. Key responsibilities include answering phone calls and taking messages, scheduling meetings, booking conference rooms, and making appointments. Job expectations include performing administrative duties including updating documents, memos, letters and forms and following procedures and practices.

Requirements:

  • Ability to work collaboratively under tight deadlines with minimal supervision, and flexibility to work extended hours or weekend when needed
  • Self-motivated with a proactive mindset, capable of handling a wide range of responsibilities independently while contributing as a team player
  • Professional and diplomatic in handling sensitive situations and client interactions
  • Positive attitude, proactive, energetic, and hardworking team player
  • Fluent in English
