This job is responsible for providing diverse and confidential administrative support, including greeting and directing customers, associates, or other visitors. Key responsibilities include answering phone calls and taking messages, scheduling meetings, booking conference rooms, and making appointments. Job expectations include performing administrative duties including updating documents, memos, letters and forms and following procedures and practices.
Provide full administrative support to executives and team Manage complex calendars, scheduling internal/external meetings and resolving conflicts Screen and handle incoming calls with discretion and proper prioritization Coordinate complex travel logistics e.g. flights, visas, itineraries, etc Process expense claims and invoices in line with company policies Support onboarding of new hires/transferees e.g. system set up, equipment, office arrangements, etc Provide logistics support to regional and global visitors Support events logistics with proper approval and record keeping Perform general office administrative duties Accurately document and relay messages with appropriate judgment Provide hands–on, on‑site administrative and operational support to the team.
At least 3 years of relevant experience providing support to team of executive; Experience working in a financial institution, particularly within a Global Markets environment is highly preferred. Excellent communication and organizational skills, with the ability to interact effectively with senior management Ability to work collaboratively under tight deadlines with minimal supervision, and flexibility to work extended hours or weekend when needed Self‑motivated with a proactive mindset, capable of handling a wide range of responsibilities independently while contributing as a team player Professional and diplomatic in handling sensitive situations and client interactions positive attitude, energetic, and hardworking team player fluent in English.
