Liaise with Legal, Relationship Managers, Credit teams and external solicitors to resolve non-standard documentation matters.
Issue relevant notices and obtain acknowledgements from third parties, including property authorities, insurers, contractors and other counterparties.
Coordinate customer signing arrangements and verify execution requirements, including authorised signatories, board resolutions, common seals and witnessing formalities.
Monitor outstanding documentation and follow up with relevant parties to ensure timely completion.
Coordinate amendments and re-registration of security interests under the new contracting entity, including corporate charges, property mortgages, share charges, insurance assignments and other relevant security arrangements.
Liaise with relevant registries, legal counsel and internal stakeholders to facilitate statutory filings and obtain necessary third-party consents.
Monitor filing deadlines to ensure security perfection is completed on time and security priority is appropriately maintained.
Coordinate the transfer, re-filing and safekeeping of original credit documents and title deeds.
Update and reconcile corporate charges, overseas charges, mortgages and other relevant security records before and after migration.
Ensure collateral systems and internal records accurately reflect the new contracting entity and updated security details.
Arrange the scanning, indexing and filing of executed documents in the bank’s document repository.
Reconcile executed documents against system records and relevant collateral registers to maintain accurate and complete records.
Identify and track documentation exceptions, discrepancies and outstanding items following project go-live.
Prepare and coordinate supplemental, replacement, confirmatory and corrective documents to resolve identified deficiencies.
Investigate and rectify inconsistencies between executed documents, collateral systems and statutory registers.
Respond to queries and findings from Internal Audit, Compliance, Risk, external auditors and regulatory stakeholders relating to the migration exercise.
Maintain exception trackers covering ageing, ownership, target clearance dates and resolution status.
Provide regular progress updates to management and elevate overdue or higher-risk items until all outstanding matters are resolved.
Support additional project and operational activities as required by the Head of Credit Documentation.
