Job Summary:
Under the guidance of the Assistant Human Resources Manager and the Director of Human Resources, the Human Resources Executive will support in driving daily HR operations. He/she will also support in strategic planning and execution of HR programs, activities and initiatives to ensure high level of colleague engagement while supporting the business objectives. He/she will be involved in the different HR functions including but not limited to employee / labor relations, payroll administration, onboarding, compensation and benefits. He / she will also provide support in recruitment, training and talent development and succession.
Essential Duties And Responsibilities:
- Provide effective and efficient HR services to colleagues.
- Coordinate with designated travel agency and colleagues related to travel requests; assist in booking leaves, emergency, business and related travel arrangements.
- Ensure that employee database is accurate and updated at all times.
- Ensure end of service transactions are prepared and accurate; liaise with finance for payment of end of service as per exit schedule.
- Assist with the hotel’s official bank to facilitate bank account opening for new colleagues.
- Follow up on any colleague request in relation to bank transactions.
- Prepare letters requested by colleagues for various official and personal purposes.
- Plan and organize HR events and activities round the year.
- Provide assistance in employee grievance / disciplinary procedures.
- Assist in preparing necessary documentation related to immigration such as residence permit applications, RP renewals, work visas, including medical examination, fingerprints, and labor department.
- Assist in acquiring documents for tourist visa applications for entertainers to support government relations.
- Support the Hotel Nurse in ensuring F&B staff have food handlers certificates and ensure validity.
- Deal with issues related to hotel operations from ministries, government departments, or owning company.
- Liaise with relevant embassies on recruitment and employee welfare issues.
- Establish and maintain effective colleague relations and provide guidance on employee welfare.
- Support the Assistant HR Manager in reviewing and updating hotel policies and procedures to ensure compliance with local legislation.
- Keep the HR team updated on changes in local law or legislation.
- Support the Colleague Welfare Committee events.
- Prepare HR-related reports as required.
- Complete projects assigned by the Assistant HR Manager and the Director of HR.
- Be on call 24 hours for emergencies as part of the HR team.
- Ensure compliance with FLS legislation and conduct themselves ethically and legally.
- Report all accidents, hazards, or dangerous occurrences.
- Assist in selection and recruitment by conducting preliminary interviews, master the use of “My Recruit” IHG system, and ensure proper documentation and candidate care.
- Prepare employment contracts and conduct reference checks.
- Follow up on employment documentation and immigration issues.
- Ensure accommodation and onboarding for new colleagues are arranged as per standards.
- Welcome new joiners, introduce them to policies, and ensure orientation.
- Maintain recruitment activity reports and monitor vacancy postings.
- Coordinate employee referral incentives and maintain relationships with recruitment agencies.
- Advise on contract terms, process internal transfers and promotions, and ensure payroll and attendance systems are updated accordingly.
