Position Overview

We are seeking a dependable, highly organized, and detail‑oriented Entry‑Level Administrative Assistant to support remote operational and administrative workflows across regional teams serving the MENA region, including the UAE, Qatar, and Saudi Arabia. This position plays an essential role in maintaining structure, clarity, and consistency within daily operations.

This role is ideal for individuals who thrive in well‑defined, process‑driven environments and take satisfaction in keeping systems organized and accurate. The successful candidate will enjoy working behind the scenes to ensure that data is clean, records are complete, tasks are properly tracked, and workflows move forward without disruption. You will contribute to the operational backbone of the organization by ensuring documentation, reporting, and tracking systems remain reliable and up to date.

Primary Responsibilities
Administrative Data Management
  • Maintain and update spreadsheets, internal databases, and tracking systems on a daily basis
  • Review data entries for completeness, consistency, and accuracy before finalizing updates
  • Standardize formatting across records, including names, contact details, geographic regions, identifiers, and notes
  • Identify and correct errors, duplicate records, inconsistencies, and missing information
  • Flag incomplete or unclear entries and communicate with relevant team members for clarification
  • Ensure datasets remain clean, structured, and optimized for operational reporting and downstream processes
  • Support the organization’s data hygiene standards to improve efficiency and reliability
Task & Request Coordination
  • Review incoming administrative requests and categorize them according to established workflows
  • Assign or route tasks to appropriate team members based on defined responsibilities
  • Monitor task progress from initiation through completion
  • Proactively follow up on pending, overdue, or incomplete tasks to ensure timely resolution
  • Maintain accurate documentation of task statuses, updates, and outcomes
  • Help ensure that no requests are overlooked or left unresolved
Tracking, Logs & Reporting
  • Maintain operational trackers reflecting completed tasks, pending items, and work in progress
  • Record daily activities, including updates performed, issues identified, and follow‑up actions required
  • Prepare concise daily or periodic summary reports outlining progress, bottlenecks, and outstanding items
  • Identify recurring patterns, workflow inefficiencies, or data gaps and elevate findings for process improvement
  • Contribute to transparency and visibility across teams by ensuring accurate reporting
Scheduling & Coordination Support
  • Assist with basic scheduling coordination, including confirming availability and updating shared calendars
  • Update internal timelines and schedules based on provided instructions
  • Send reminders, confirmations, or follow‑ups to support deadline adherence
  • Track completion of onboarding steps, internal checklists, operational milestones, or documentation requirements
  • Support team coordination by ensuring administrative details are not missed
Quality Assurance & Record Accuracy
  • Review work prior to submission to ensure compliance with internal guidelines and quality standards
  • Maintain consistent file naming conventions, folder organization, and documentation structures
  • Ensure records remain accessible, organized, and properly archived
  • Support continuous operational efficiency by keeping systems clean, standardized, and reliable
  • Contribute to maintaining high standards of accuracy across administrative workflows
