Job Purpose
To provide project coordination and administrative support to ensure the effective planning, execution, monitoring, and documentation of projects and cross-functional initiatives. The role is responsible for coordinating stakeholders, supporting project meetings, maintaining project documentation, tracking action items and deliverables, and ensuring timely communication across project teams.
Key Responsibilities
- Coordinate and schedule project meetings with internal and external stakeholders.
- Prepare and distribute project meeting agendas, materials, and relevant documentation.
- Attend project meetings and prepare accurate and structured meeting minutes and action logs.
- Track project action items, deliverables, milestones, and deadlines, and follow up with responsible stakeholders.
- Support project managers in planning, coordinating, and monitoring project activities.
- Maintain project plans, trackers, reports, presentations, and other project documentation.
- Prepare project status updates, summaries, presentations, and briefing materials for management.
- Coordinate with cross-functional teams to ensure alignment and timely completion of project activities.
- Organize and maintain project files and documentation in accordance with established procedures.
- Support project reporting by collecting, consolidating, and analyzing relevant project information.
- Conduct ad hoc research and administrative activities related to projects and strategic initiatives.
- Identify and escalation project-related issues, delays, or risks to the Project Manager when appropriate.
- Maintain confidentiality of sensitive project, business, and strategic information.
- Perform other project coordination and administrative duties as assigned by the Project Manager or direct manager.
Qualifications & Experience
- Bachelor's degree in Project Management, Business Administration, Engineering, or a related field.
- Previous experience in project coordination, project management support, PMO, or a related role.
- Experience working with cross-functional teams and multiple stakeholders.
- Proficiency in Microsoft Office, particularly Excel, PowerPoint, Word, and Outlook.
- Knowledge of project management methodologies, tools, and processes is preferred.
- PMP, CAPM, or other project management certification is an advantage.
