Overview of Tasks & Accountabilities
Prepare, plan, run, and evaluate purchasing projects.
Manage the end‑to‑end procurement project lifecycle from requirement analysis and planning to RFx execution and post‑project evaluation.
Contract Negotiations: negotiate contracts, pricing, payment terms, SLAs, and risk mitigation with key suppliers.
Supplier Management: identify, evaluate, develop, and maintain relationships with suppliers; analyze spend, create strategic purchasing plans; act as procurement partner for Operations and Product teams.
Purchasing Projects
- Connect with stakeholders, identify projects, agree on timelines.
- Prepare documents: NDA, Scope of Work, Bidding Policy, etc.
- Identify potential suppliers, deploy documents, run sourcing processes (RFQ, RFP, tender).
- Compare quotes, proposals, provide decision points.
- Support internal stakeholders through award, final negotiations, contracting.
Supplier Management
- Build trust‑based relationships, establish communication channels, solve issues.
- Work with suppliers to improve capabilities, processes, performance.
- Monitor performance: service levels, quality, delivery schedules.
- Resolve disputes, mitigate risks (disruptions, financial instability, geopolitical).
- Seek cost savings and process improvement opportunities.
Procurement Process Enhancements
- Analyze existing processes to find inefficiencies and bottlenecks.
- Identify automation, workflow streamlining, cycle‑time reductions.
- Develop and evaluate solutions: new technologies, redesigned workflows, standardized procedures.
- Manage change: communicate, address resistance, provide training.
- Document updated processes, share best practices, enable learning.
Receiving Audit
- Gather data: receiving reports, purchase orders, packing slips, invoices, quality control records.
- Conduct physical inspections to verify quantity, condition, conformity.
- Review documentation for accuracy, completeness.
- Assess quality against standards and specifications.
- Ensure compliance with policies, standards, regulations.
- Investigate discrepancies: shortages, overages, damages, incorrect shipments.
Requirements
- Strong communication, friendly yet determined.
- Fluent English.
- Proficient IT skills: Office programs, especially Excel; project management and sourcing software.
- Analytical mindset: data digging, spend reports, pattern identification.
- Background: Finance, supply chain management.
- Experience with digital procurement software (Coupa preferred).
- Ability to work in an international environment with different cultures.
Education & Experience
- Bachelor’s Degree.
- 3–5 years of experience in a similar position, ideally in TV/entertainment/sports/event industry.
