Position Overview
The Leasing & Fit-Out Coordinator plays a key role in supporting mall tenants throughout the leasing, design approval, and store fit-out lifecycle. This role ensures that all tenant activities comply with mall standards, technical guidelines, safety regulations, and project timelines. The coordinator acts as the primary liaison between tenants, contractors, mall operations, and the leasing team to ensure timely shop openings and efficient coordination of all fit-out activities.
Key Responsibilities
Leasing Coordination
- Assist the Leasing team with documentation, tenant onboarding, and issuance of offer letters, lease proposals, and related paperwork.
- Maintain accurate leasing records, tenancy schedules, and tracking sheets.
- Serve as the point of contact for tenants during handover and pre-opening phases.
- Coordinate with legal and finance teams to ensure all leases and payments are processed according to policies.
Fit-Out & Handover Management
- Manage the end-to-end tenant fit-out process from site handover to store opening.
- Coordinate with tenants, designers, and contractors to ensure submission and approval of design drawings, MEP plans, and shopfront proposals.
- Conduct site inspections to monitor fit-out progress, safety compliance, and adherence to mall fit-out guidelines.
- Ensure tenants comply with mall regulations, building codes, and health & safety standards during construction.
- Track and report fit-out progress, highlighting delays, issues, or risks to management.
Technical & Operational Coordination
- Liaise with mall operations, security, facilities management, and external consultants for technical approvals, service connections, and operational requirements.
- Ensure all necessary permits (e.g., work permits, access permits, fire safety approvals) are issued on time.
- Manage and update the Tenant Coordination Manual and Fit-Out Guidelines when required.
Communication & Reporting
- Maintain regular communication with tenants regarding timelines, site access, inspections, and compliance matters.
- Prepare weekly fit-out progress reports for management.
- Assist in coordinating shop openings and ensuring all final inspections are completed ahead of opening.
Qualifications & Experience
- Bachelor’s degree in Engineering, Architecture, Interior Design, Real Estate, or a related field.
- 3–5 years of experience in tenant coordination, mall management, fit-out supervision, or leasing support (preferred in a retail or mall environment).
- Knowledge of MEP systems, construction processes, and mall fit-out standards.
- Strong understanding of health & safety and local regulatory requirements.
