About the Role
The Fleet Manager will lead fleet and transportation management across the head office and regional branches ensuring reliable vehicle availability timely maintenance regulatory compliance and cost control The role covers approximately 540 vehicles and a team of 3 direct and 4 indirect employees with responsibility for developing team capability and coordinating with Sales Supply Chain Procurement Finance HR and external service providers
Key Responsibilities
- strong Fleet Leadership amp Availability strong Lead fleet operations to meet sales and management vehicle requirements Maintain fleet policies and secure approval from the relevant General Management HR Finance and Supply Chain stakeholders Coach and develop the fleet team coordinate regional fleet service reporting and align vehicle availability with workforce and business plans
- strong Preventive Maintenance amp Compliance strong Ensure adherence to preventive maintenance schedules timely regional repair requests tire replacement and servicing of truck box-cooling units Review SAP preventive maintenance orders and weekly odometer updates expedite completion and closure of maintenance orders Ensure timely vehicle registration Motor Vehicle Periodic Inspection MVPI operating cards driver cards transport documents and other statutory renewals Keep the business informed of relevant regulatory requirements
- strong Insurance amp Fleet Administration strong Maintain continuous insurance coverage for all vehicles provide renewal inputs and coordinate accident handling and timely closure of insurance claims Maintain accurate fleet master data and share monthly updates by the 25th Keep actual vehicle-user records current in TAMM for the head office and branches Manage vehicle handovers ownership transfers daily rentals management-vehicle servicing traffic violation processing and approvals and employee clearance end-of-service fleet requirements
- strong Budgeting Cost Control amp Financial Closure strong Prepare annual fleet budgets and operating plans based on sales and non-sales workforce requirements Monitor fleet administration and branch fleet expenses against approved budgets Coordinate timely vendor payments and monthly closing with Procurement and Finance including purchase requisitions purchase orders service entry sheets service invoices and petty cash Submit provisions to Finance for expenses not closed in SAP Refer decisions through the Head of Supply Chain and obtain senior management approval for expenditure outside the agreed budget
- strong Vehicle Procurement Leasing amp Disposal strong Coordinate competitive quotations and negotiations with Procurement for vehicle purchases and operating leases initiate and renew contracts in line with fleet policy Oversee purchase requisitions customs green-card and insurance documentation vehicle registration pre-delivery inspection receipt shipment and collection Manage vehicle sales and auctions with Procurement and Finance including quotations payment coordination insurance cancellation ownership transfer and handover
Qualifications, Experience & Competencies
- Strong fleet and transportation management background, preferably in manufacturing; previous FMCG experience in supply chain, team building, and employee training.
- Proven leadership in team development, performance management, coaching, and training, with the ability to work effectively across cultures and organizational levels.
- Excellent planning, organizational, time-management, communication, interpersonal, negotiation, and problem-solving skills.
- Strong analytical and financial management skills, including fleet budgeting, expense analysis, and cost control; understanding of the value chain.
- Knowledge of Saudi Arabian transportation standards and requirements, motor vehicle regulations, and Saudi Labor Law; ability to apply fleet policies accurately.
- Computer literacy and English proficiency; SAP experience is highly desirable.
- Inventory management and planning experience is an advantage.
- Business integrity, sound judgment, and a strong commitment to internal and external customer service.
Experience
Minimum 10 years of progressive fleet management experience, including at least 5 years in a management role; minimum 5 years in Saudi Arabia
Education
Bachelor's degree in Mechanical Engineering, Industrial Engineering, or a closely related field
