The Scheduler will be responsible for aligning customer requirements with ATD availability, coordinating with instructors and technical maintenance teams, managing training resources and timelines, and maintaining accurate training records and reports to ensure efficient and effective use of training devices.

Open term contract and subject to contract award.

Key Responsibilities
  • Develop and maintain the ATD training schedule in coordination with RSAF training authorities, C-130 ATD Simulator Flight Instructors, and the Aircrew Training Device Technical Maintenance Lead.

  • Receive, validate, and prioritize RSAF training requests and mission requirements; confirm availability and resolve scheduling conflicts.

  • Coordinate daily and long-term training calendars, including allocation of simulator time, instructor assignments, briefing/debrief facilities, and required mission files.

  • Liaise with the ATD Technical Maintenance team to confirm device readiness, planned maintenance windows, patch or upgrade schedules, and contingency plans for outages.

  • Ensure required resources (instructor/operator consoles, debrief systems, mission databases, and any emulation hardware) are available and configured prior to each event.

  • Communicate schedule confirmations, changes, and status updates to RSAF customers, instructors, maintenance staff, and Boeing program management.

  • Maintain and update training event documentation: agendas, student lists, lesson plan references, special equipment needs, and training data retention requirements.

  • Track and report training utilization metrics, device availability, cancelations, and instructor utilization to support performance and capacity planning.

  • Manage reservations for supporting facilities (brief/debrief rooms) and coordinate any travel or logistics support required for instructors or visiting personnel.

  • Support instructor and student rostering, including tracking qualifications, currency, and any prerequisites for specific training events.

  • Implement and maintain scheduling tools, databases, and templates; ensure data integrity and backups in coordination with technical staff.

  • Assist in after-action reporting: compile session data, capture discrepancies affecting training fidelity, and submit requests for corrective action or simulator configuration changes.

  • Support on-the-job training for RSAF scheduling personnel and serve as the primary scheduling point-of-contact during exercises or high-tempo operations.

  • Ensure compliance with local policies, security procedures, and RSAF scheduling directives.

Qualifications

  • Minimum 2 years’ experience in scheduling, operations planning, or resource coordination for military aviation training or simulator operations.

  • Familiarity with C-130 operations, basic aircraft systems, and typical mission profiles preferred.

  • Strong organizational skills and demonstrated ability to manage multiple priorities and conflicting requests.

  • Proficient with Microsoft Office suite (Excel, Word, Outlook, PowerPoint) and calendar/scheduling tools.

  • Preferred Qualifications (Desired Skills/Experience):

  • Excellent verbal and written English communication skills; Arabic proficiency advantageous.

  • Experience with scheduling or training management software and databases (or ability to learn quickly).

  • Prior experience coordinating simulator schedules (ATD, FMS, or full flight simulators).

  • Knowledge of debrief systems, mission file management, and simulator instructor/operator roles.

  • Experience using database tools for tracking training events, utilization metrics, and reporting.

  • Strong interpersonal skills with a customer-service mindset; ability to work with military and civilian stakeholders.

  • Familiarity with maintenance coordination processes and basic understanding of simulator downtime impacts.

Competencies
  • Detail-oriented, proactive, and able to anticipate conflicts and resource constraints.

  • Clear communicator with negotiation skills for schedule trade-offs.

  • Reliable under pressure and able to adapt to changing operational tempos.

  • Collaborative team player who builds strong working relationships with instructors, technicians, and customers.
