Job summary

Alsayegh Worldwide in Riyadh is seeking a highly organized Bilingual Proposal Administrator to coordinate, prepare, and submit proposals, tenders, and RFQs across all agency verticals. The role requires hands-on experience with Etimad and Saudi procurement portals, fluent Arabic and English, and the ability to manage multiple deadlines in a fast-paced environment.

Qualifications

• Fluent in Arabic and English, both written and spoken.
• Strong understanding of proposal and tender processes.
• Experience with Etimad and Saudi government procurement portals.

Responsibilities

• Coordinate and prepare proposals, tenders, RFPs, RFQs, and other client submissions across all agency verticals.
• Review client and tender requirements and ensure submissions are complete, accurate, compliant, and professionally presented.
• Coordinate with Business Development, Creative, Events, Production, Finance, Media, Social Media, and other departments.
• Manage submissions through Etimad and other relevant procurement portals.
• Monitor tender announcements, deadlines, clarification periods, amendments, and submission requirements.
• Prepare and maintain proposal checklists to ensure all mandatory requirements are addressed.
• Coordinate proposal revisions and ensure latest approved versions are submitted.
• Maintain an organized database of proposals, tenders, submissions, outcomes, credentials, case studies, and supporting documents.
• Track proposal activity and prepare regular reports on submissions, pipeline, outcomes, and win rates.
• Support the team in developing stronger and more competitive proposals and pitches.
• Coordinate with procurement teams, project owners, clients, and external stakeholders.
• Continuously improve knowledge of tendering, procurement, proposal preparation, and industry best practices.
