Job summary

Pullman Hotels & Resort in Doha, Qatar seeks a Group Coordinator to manage group bookings, site inspections, and program planning for corporate and leisure clients.

You will collaborate with multiple departments to ensure seamless events, address client needs, and maintain accurate records. The role requires strong communication, organization, and proactive service to deliver memorable experiences.

Qualifications

• Minimum of 2 years of experience in a similar capacity.
• Excellent communication & organizational skills.
• Motivated, results oriented & team player.
• Highly proactive & determined.

Responsibilities

• Upsell and promote the hotel’s facilities and services to maximize sales revenue.
• Coordinate all group arrangements and site inspections for potential clients.
• Collaborate with group contacts to plan programs and requirements; communicate needs to relevant departments.
• Acknowledge and handle client complaints and comments; report incidents to management.
• Input group bookings and update booking activities in the system weekly; maintain reports and filing per sales admin processes.
• Promote positive relations with clients and respond to requests promptly and courteously.

Job Description

• Maintain complete knowledge of the following (to include but not limited to):
  • All hotel features / services, hours of operation
  • Hotel function space, entertainment options, menus and floral decoration options
  • Hotel safety guidelines and evacuation plan
  • Scheduled daily group activities
• Up-sell and promote hotel’s facilities and services at every available opportunity in order to maximize sales revenue
• Coordinate all group arrangements
• Arrange site inspections for potential clients
• Work with group contacts to facilitate program planning and requirements
• Communicate group needs and specifications to all relevant departments
• Acknowledge and handle clients’ complaints and comments tactfully and efficiently. Report incidents or other irregularities to management
• Follow up with Post-Conference reports and review group billings
• Input all group bookings and update booking activities in the system on a weekly basis
• Prepare reports, maintain proper records and filing system in accordance to hotel’s sales administration process
• Promote positive relations with clients and attend to all requests expediently and courteously
