Lusail International Circuit is seeking a Fleet & Sporting Fleet Support Administrator to provide organized, proactive administrative support for the workshop and sporting fleet activities, including spare parts administration, ERP transactions, and maintenance documentation for bikes, karts, and racing cars.

Qualifications

  • Diploma or associate in a field related to automotive, logistics, or business administration.
  • Minimum 5 years' experience in a workshop, fleet, or automotive environment.
  • Familiarity with fleet systems and document control processes.
  • Solid understanding of spare parts, workshop operations, and maintenance processes.
  • Proficient with ERP systems and MS Office; Dynamics 365 is a plus.
  • Ability to collaborate with technical teams in a fast-paced setting.
  • Excellent English communication; Arabic language is a plus.

Responsibilities

  • Manage spare parts inventory across the sporting fleet with accurate tracking.
  • Monitor stock levels and coordinate replenishment with Procurement and suppliers.
  • Maintain clear traceability and documentation for high-value components.
  • Keep maintenance records for all fleet assets, including service history.
  • Record maintenance activities with mechanics and workshop staff.
  • Track preventive and corrective maintenance schedules and fleet readiness.
  • Handle ERP transactions (purchase requests, stock movements, material issuance).
  • Support day-to-day workshop administration and internal coordination.
  • Maintain organized digital and physical records and filing systems.
  • Prepare checklists and ensure documentation is complete before events.
  • Coordinate movement of bikes, karts, and racing vehicles between workshop and track.
  • Assist workshop and technical teams during race events and track activities.

Job description

The Fleet & Sporting Fleet Support Administrator is responsible for providing organized, proactive, and technically knowledgeable administrative support to the daily operations of the workshop and sporting fleet activities. Role spans across spare parts administration, ERP transactions, maintenance documentation, inventory control, and overall fleet readiness for motorsport activities and international events. Working closely with the Head of Mechanics and Technical teams, this role ensure that all bikes, go-karts, cross karts, racing cars, and supporting sporting fleet assets are properly maintained, documented, and prepared for operational and racing requirements, including Karting Championships, QSTK Bike Championships, Public Karting operations, Track Days, and other motorsport events hosted at Lusail International Circuit.

Key Responsibilities
  • Manage spare parts inventory across the sporting fleet, ensuring accurate tracking, storage, and availability at all times.
  • Monitor stock levels and coordinate with Procurement and suppliers to ensure timely replenishment of parts and consumables.
  • Maintain clear traceability and documentation for critical and high-value components.
  • Maintain complete and accurate maintenance records for all fleet assets, including service history, inspections, and repairs.
  • Work closely with mechanics and workshop staff to ensure all maintenance activities are properly recorded and documented.
  • Track preventive and corrective maintenance schedules and support reporting on fleet readiness and parts usage.
  • Handle ERP transactions related to workshop operations, including purchase requests, stock movements, and material issuance.
  • Support day-to-day workshop administration, reporting, and internal coordination.
  • Maintain organized records, trackers, and filing systems, both digital and physical.
  • Support events and operational readiness by preparing checklists and ensuring all documentation is complete prior to events.
  • Coordinate the movement and allocation of bikes, karts, and racing vehicles between workshop and track operations.
  • Assist the workshop and technical teams during race events, championships, and track activities.
Requirements
  • Diploma or associate qualification in Automotive, Mechanical Engineering, Logistics, Supply Chain Management, Business Administration, or a related field.
  • Minimum 5 years' experience in a workshop, fleet, automotive. Motorsport experience is a strong advantage.
  • Familiarity with fleet systems and document control processes is preferred.
  • Solid understanding of spare parts, workshop operations, and maintenance processes.
  • Comfortable working with ERP systems and standard Microsoft Office tools. Familiarity with Dynamic 365 is a strong advantage.
  • Ability to work closely with technical teams in a fast-paced operational environment.
  • Excellent communication skills in English, both written and spoken. Fluency in Arabic is preferred but not mandatory.
  • A valid Qatar driving license is preferred.
Additional Requirements
  • Currently based in Qatar with a valid Residence Permit (QID).
  • Able to provide a No Objection Certificate (NOC), where required, for the duration of the assignment.

This is a fixed-term role (11 months in duration), with the possibility of further engagement subject to performance and organisational requirements.
