Job description

The Site Services Coordinator is responsible for coordinating our Site Services team, making sure the right engineers are deployed to the right customer projects while maintaining strong employee engagement, operational efficiency and customer satisfaction.

This is a hands-on, position combining day-to-day people’s coordination, resource planning, customer contact and operational/commercial support.

The role coordinates a team of approximately 15–20 automation engineers, most of whom work internationally and spend significant periods at customer sites.

Key Responsibilities
Team Coordination
  • Support a team of 15–20 automation engineers working primarily at customer sites abroad
  • Act as the main point of contact for engineers on operational, personal and logistical topics, keeping engagement high despite long periods away from home
Resource Planning & Allocation
  • Own the short and medium-term resource planning, allocating engineers based on skills, availability and customer requirements
  • Forecast capacity and utilisation, anticipating gaps and reacting quickly to urgent requests, delays, extensions or absences
  • Coordinate assignment logistics (travel, accommodation) together with the administrative team
Customer Relationship Management
  • Act as the main operational contact for customer project and service managers regarding staffing, assignments and engineer performance
  • Understand each customer’s projects, sites and technical requirements to ensure the right match between engineers and assignments
  • Maintain regular communication throughout assignments and identify opportunities to grow existing and new business
  • Prepare quotations for new assignments and support rate discussions with customers
  • Prepare and validate the team’s timesheets and provide invoicing information related to work on site
  • Review and approve travel expenses and per diems according to company policies and country requirements
Compliance & Safety
  • Ensure assignments comply with labour, travel, immigration and posted-worker requirements
  • Promote safe, professional behaviour and ensure engineers know each customer’s site requirements
What We Are Looking For
Experience
  • Previous experience coordinating teams, field service, site work or a similar operational environment
  • Hands‑on experience at industrial or customer sites (e.g. installation, commissioning, automation or electrical work) is a strong advantage
  • Experience coordinating people working across multiple locations or on international assignments is highly valued
  • Experience balancing customer needs, resources and operational priorities
Technical Background
  • Practical site experience is valued more than academic qualifications; an engineering degree is not required
  • A technical background (e.g. technical or vocational training in electrical, automation or industrial areas) is an advantage
  • Enough technical understanding to discuss engineers’ profiles with customers and match the right people to each project’s needs
Skills
  • Strong coordination, planning and organisation skills
  • Good people skills: approachable, trusted by the team and able to keep engagement high at a distance
  • Very good spoken and written English (essential); Portuguese is highly valued
  • Confidence interacting directly with customers
  • Resilience and pragmatism in a demanding site environment with frequently changing priorities
  • Strong problem-solving skills and a high level of ownership
  • Comfortable working with numbers, planning tools and operational data
  • Availability for occasional travel to customer sites

We are looking for a hands‑on coordinator who knows the site world and is comfortable in it, rather than a traditional engineering or office-based profile.

This person should be comfortable moving between very different topics during the same day: supporting an engineer abroad, reorganising a project allocation, solving an urgent customer request or preparing a quotation.

The role requires strong coordination and people skills, resilience, good judgement and the ability to maintain solid relationships with both engineers and customers.
